  • Performs a variety of telephone call answering/switchboard and reception duties such as:
Answering, screening and forwarding telephone calls; responding to inquiries from internal andexternal sources and providing various information; taking and relaying messages; acting asreceptionist to greet and direct people to the appropriate contacts or services; and providing basicinformation.
  • Operates a Personal Computer or terminal utilizing word-processing, spreadsheet and database
applications to enter, process, retrieve, update or revise information; types and proofreadscorrespondence, reports, forms, statements and other documents; photocopies, collates, files and/or distributes completed documents.
  • Processes and checks the accuracy of various documents and department specific routine
transactions; identifies discrepancies and follows up with other departments to clarify, confirm orcorrect information.
  • Performs a variety of clerical support duties such as: Ordering and maintaining stationery and
other supplies and checking/processing related invoices; completing employee time reports andPTL-T-7302-220531E1 - Administrative Clerk Powertechentering staff time sheet data into mainframe system(s); processing monthly summaries; operatinga petty cash fund; processing expense claims; booking pool vehicles and maintaining vehiclemileage and related records; booking meeting rooms for internal and external meetings includingarranging for special needs and maintaining of meeting room equipment for users; making travelarrangements; arranging for staff course enrolment and processing related payment requisitions;process payments and bank deposits; operating and performing minor maintenance and arrangingfor servicing of facsimile, photocopier and other office equipment; maintaining various records andfiles.
  • Opens, sorts, stamps and distributes incoming mail; routes outgoing mail; arranges for courier
deliveries and pick-ups.
  • Performs duties of a minor nature related to the above duties which do not affect the rating of the
job.Qualifications:Office practices, procedures, routines, filing/recording/monitoring systems, correspondence andreport formatting and preparation, keyboard skill at 60 wpm, personal computer and related wordprocessing/spreadsheet application program operation, reception and telephone answeringtechniques are typically acquired through graduation from High School in an Office PracticesProgram plus completion of the following in-house BC Hydro courses or equivalent such as:Vehicle Management System (VMS), Salary Time System (STS), Journal Voucher Control System(JCVS), Business Management Systems (BMS), APPO, Cashiering Terminal System (CTS), MSOffice Word, Excel, Access and PowerPoint packages, IBM Professional Office System (PROFS),CICS and TSO.Required experience includes a minimum 2 months general office experience with a demonstratedworking knowledge of BC Hydro document preparation standards, procedures and practices, useof a desk top environment and the full range of systems identified above. Well developed oral,interpersonal and organizational skills to provide administrative, reception and telephoneanswering duties. May require ability to drive a vehicle.ADDITIONAL INFORMATIONResponsibilities include :

Interview scoring will be weighted to applicants having;
  • Proficiency with Microsoft applications including Word, Excel, Outlook, and PowerPoint.
  • Experience with SAP would be an asset.
  • Strong interpersonal and communications skills, both verbal and written, tact and diplomacy.
  • Demonstrable organizational and time management skills with the ability to multi-task, prioritize
and adapt easily to shifting and/or conflicting deadlines.
  • Self starter who is proactive in identifying and proposing solutions to issues that arise.
  • Exceptional attention to detail.
