EMPLOYMENT OPPORTUNITYIntake and Settlement SupportMulticultural Association of SussexOVERVIEWReporting to the Multicultural Association of Sussex the incumbent is responsible for the implementation of client and office supports on behalf of the Multicultural Association of Sussex in order to strengthen it’s client intake and follow-up, as well as to ensure that the client needs are being fully met and properly triaged within the various departments of the organization.DUTIES AND RESPONSIBILITIES: · Client intake and follow up (performing intitial client needs assessments, registration, and troubleshooting)· Navigating client walk-ins (triaging their settlement needs, answering questions and helping clients navigate local systems).· Assisting clients with school registration, registering for a doctor, and making appointments with service providers as needed· Administrative duties associated with client files, taking messages, booking appointments· Administrative duties related to the project, such as financial data entry, pulling reports, creating visuals and graphics based on data, and supporting the monthly reports for our multiple service agreements· Follow up and outreach to MAS clients and stakeholders (inviting to events, registering for activities and workshops)· Supporting the MAS team via communications, email, website, and newsletter· Maintaining the front desk for walk-ins Monday to Thursday 8 : 30 am to 4 : 00 pm and maintaining the opening and closing duties of the office.QUALIFICATIONS AND SKILLS: · 2 (2) years of post-secondary studies in a discipline related to the position.· Or: Four (4) years of experience in a discipline deemed relevant to the position.· Or: An equivalent combination of education and experience will be considered.Knowledge:· Intermediate+ knowledge of spoken and written English, comfortable with public speaking· Bilingualism with a language common to local newcomers such as (but not limited to): Ukrainian, Portuguese, Arabic, Punjabi or French is considered an asset· Familiarity in Microsoft Office, client database software, Outlook, Canva, and Social Media platforms· Familiarity with data entry, financial reports, budgets· Creating graphs, reporting, and storytelling for diverse stakeholders, board, and social media· Familiar with bookkeeping and Sage is an asset· Marketing, sales, and customer service skills are an asset· Excellent impact storytelling and communications (web and media) skillsAptitudes: · Show patience and respect for newcomers, volunteers, and vulnerable groups· Advanced leadership, planning, organizational and prioritization skills.· Able to coordinate multiple projects simultaneously, and under pressure· Able to work both under limited supervision and as part of a team.· Discretion, confidentiality and compliance with the Privacy Act. · Flexibility and openness, ability to analyze and synthesize information.· Excellent interpersonal skills and ability to build trusting relationships with various stakeholders.· Able to make presentations, convey information, and plan and execute meetings and events.· Sound judgment and conflict resolution skills in an intercultural context.· Interest in local economic and community development and multiculturalism.· A passion for the local region is required for this position· Highly organized and a self starterRequirements: · A criminal record check is a condition of employment.Working hours, compensation and term of position· 30 hours per week variable (some evening and weekends may be required for activities)· Salary between $18 and $20 per hour depending on experience· Contract until March 31 2023 with possibility of renewal· 3 weeks vacation over a year*, sick time after probationary period· Opportunities for professional development· Monday to Thursday 8:30-4 pm (flex time for breaks)*Vacation time is calculated based on hours worked at a rate of 6%Please Provide a resume and cover letter to Human Resources via emailJob Types: Full-time, Fixed term contractSalary: $18.00-$20.00 per hourBenefits:
