Job Description

Hill and Knowlton Strategies is looking for an Accounts Payable/ Accounts Receivable Coordinator to join our team in Toronto. We are looking for a detail-oriented candidate to join the finance team and support our growing business with a focus on recording and processing vendor invoices, employee business expenses, and client payments. Other key responsibilities include preparing month-end journal entries for cost allocation, expense accruals and related G/L account reconciliations. KEY RESPONSIBILITIESEmployee Business Expenses Audit expense sheets for completeness, accuracy, proper approval, and compliance with the company business expense policy

  • Match receipts with expense claims or charges for controls and accuracy
  • Ensure G/L, task and tax coding are appropriate, follow up and correct as required, approve expenses for payment in Maconomy
  • Prepare expense sheets for bi-weekly payment runs
  • File all supporting documents processed and provide backup as required
  • Prepare monthly accruals, G/L reconciliations and follow up on aged items
  • Enforce H+K expense policy and provide support, training and clarifications to employees
Vendor Invoices Monitor AP generic mailbox where all vendor invoices sent for processing
  • Ensure proper approval and G/L coding for all vendor invoices and charges
  • Timely input in Maconomy
  • Respond to vendor payment enquiries, both internal and external
  • Prepare vendor invoices including approvals for bi-weekly payment runs
  • Run payment selection reports, upload payment files in HSBCnet
  • Create template for vendor payments by wire in HSBCnet
  • Follow up with the HSBCnet support team in case of issues
  • Prepare monthly accruals, G/L reconciliations and follow up on aged items
  • Keep up with relevant H+K policies and participate in staff training on AP processes
  • Stay abreast of relevant internal controls, provide guidance to employees and flag issues to management
Client Payments Prepare daily cash receipts
  • Review bank transactions daily to ensure timely booking of all receipts
  • Record payments on account, and offsets as appropriate
  • Prepare journal entries for FX gain/loss and bank wire fees as applicable
  • Update AR tracker daily when payments for overdue invoices received
COMPETENCIES
  • Ability to prioritize tasks and manage workload in a fast-paced environment with multiple deadlines
  • Strong interpersonal skills
  • Ability to articulate and communicate in a clear, fact-based manner, including relaying financial information to a non-financial audience
  • Strong attention to details is crucial for this role
REQUIREMENTS & QUALIFICATIONS
  • 2+ years of experience in AP/AR, preferably in professional services sector
  • Knowledge and experience with Maconomy financial platform is an asset
  • Previous exposure to SOX related controls is an asset
  • University or College degree in business and finance preferred
  • Strong Microsoft Word and advanced Excel proficiency to develop reports and prepare various analyses
  • Enrollment in the CPA program is an asset
  • Bilingual proficiency (in written and verbal French and English) is an asset
