Job Description

The Division of Hematology-Oncology at St. Michaels Hospital provides clinical care (inpatient and outpatient services), provides training to medical students and residents, and leads research activities at the hospital and the University of Toronto. We are seeking a collaborative, well-organized, self-starting, and resourceful candidate to work with and provide administrative support to a physician in medical leadership within the division. Administrative responsibilities will primarily focus on activities to support clinical, teaching as well as research administrative activities. You will work closely with enthusiastic Division members and allied health staff who are dedicated to patient-care, patient-safety, clinical education, and research.RESPONSIBILITIES:

    • Ensure efficient day-to-day support to a physician leader by providing high quality administrative support while ensuring up-to-date office support systems are in place and workflow, schedules, and correspondence are managed effectively.
    • Provide a variety of confidential and time-sensitive advanced administrative duties, often within competing time frames.
    • Take a proactive approach and work collaboratively with other members of the team and key stakeholders when preparing agendas, managing communications and materials, and diligently following-up on outstanding action items.
    • Must be able to prioritize multiple tasks and manage own workflow to ensure quality and efficiency.
    • Coordinate meetings and prepare high quality concise minutes.

    • Maintain liaison with the University of Toronto (the Division staff are faculty at the University) and support the needs of trainees working within the Division
QUALIFICATIONS
    • Graduate of a recognized Office Administration or Medical Secretarial program, or equivalent experience;
    • Must have medical terminology certificate;
    • Five (5) years’ administrative experience;
    • Recent Healthcare/hospital experience - preferred.
    • Highly proficient in Microsoft Word, Power Point, Excel, Outlook - required.
    • Demonstrated proficiency in taking and reporting complex minutes at meetings - required.
    • Strong problem solving skills and sound judgment.
    • Self-directed, detail oriented, reliable, and resourceful.
    • Excellent written and verbal communication skills
    • Excellent organization and time management skills with an ability to effectively manage a complexity of tasks simultaneously
    • Ability to deal effectively with multiple priorities and possess tact and diplomacy in dealing with inquiries and requests for information.
    • Ability to communicate effectively, professionally, and with kindness.
    • Demonstrates understanding of patient and staff safety policies and procedures
    • Ability to anticipate and analyze situations and problems, and recognize alternatives.
    • Highly developed business etiquette
    • Strong, professional interpersonal skills with an ability to work effectively in a team environment and with a variety of internal and external stakeholders.
    Professional and customer-service oriented with an ability to work with individuals across all levels of the organization.
