Job Description

Requisition ID: 143684Join a purpose driven winning team, committed to results, in an inclusive and high-performing culture.Purpose:The Administrative Assistant is responsible for providing a broad scope of administrative support to the Vice President, Data Management.Key Accountabilities:1. Provide administrative support to the Vice Presidents in Data OfficeBooking conference rooms/meeting rooms/arranging catering services, travel arrangementsPhotocopying/binding documents, faxing documents/email messagingArranging for or making urgent deliveries of document/packages, ensuring sorting/processing of incoming/outgoing mail.Ensure that the Administrative Procedure Manual is updated on a regular basisAssisting with business unit’s HR activities (new hires/transfers/LOA) and onboarding (i.e. request for PC and phone set up, request for access pass for premise) 2. Maintain unit’s record keeping3. Provide support by:Composing & producing routine correspondenceProducing documents from written material/rough draftsProof-reading work/output against source documentsFormatting and producing spreadsheetsMaintaining information and data in departmental databasesSetting up presentations from written/rough draftsResponding to requests for technical assistance relating to standard software issuesSet-up of conference and video conference calls 4. Other duties and projects as assigned.Functional Competencies:

  • Strong organizational skills and ability to set priorities and manage time
  • Strong communication (verbal and written) and interpersonal skills
  • Ability to work independently and as a team
  • Proactive and flexible to work in changing environment
  • High level of discretion required in dealing with confidential matters
  • Excellent PC skills – Microsoft Word, PowerPoint, Excel, Access, Visio
Education / Experience:
  • Post-Secondary education or equivalent work experience
  • Previous experience in the banking, brokerage, or a law firm would be an asset
