Your drive for excellence will present opportunities to chart your own path to success with a rewarding career in our firm.Responsibilities:What your day will look likeAdministrative Assistance (97%)Complete a variety of administrative tasks necessary to run the office effectivelyProvide daily back-up reception coverage, including management of the switchboard, client interaction, mail and courier arrangements, along with other reception related activitiesAssist with managing boardroom bookings and meeting arrangements, including preparation and clean-up for a variety of functionsFormat of a range of small and large complex documents using MS Word, including editing and proofreading for spelling, grammar, and consistencyManage deadlines and coordinate the review and completion of deliverables with the project teamComplete document production, including photocopying, scanning, binding, and compiling pdf filesOverall quality checks and reviews of documents, ensuring adherence to the company’s Quality Management SystemMaintain common areas and office suppliesArrange travel and accommodations for staffAssist with the flow and approval of accounts payable invoices throughout the office and liaise with the Finance department to ensure timely processingAssist with maintaining the office filing system, archiving and librariesAssist with other activities as required or assignedLearning and Development (3%)Commit to self-development and ongoing learning and professional developmentQualifications:What you will need to succeedTwo (2) years of administration related experienceA certificate or diploma in an administration related field of study will be considered an assetExperience:Advanced skills in MS Word with experience in document formattingProficient in the use of MS ExcelExperience using PDF editing and Adobe InDesign software is considered an assetExcellent attention to detail, high regard for accuracy, and the ability to provide high-quality outputsProfessional verbal and written communication skillsHighly organized with strong interpersonal and time management skills and a positive “can-do” attitudeAbility to prioritize work effectively to meet tight deadlines and adapt to changing workload demandsAbility to develop innovative solutions when experiencing unexpected challenges or roadblocksFamiliarity with Google Workspace, e.g., Gmail, Google Calendar, Google Drive, is considered an assetExperience in a Professional Services consulting firm (engineering / environmental / planning) is considered an assetWhy choose DillonDillon is powered by people who are technically proficient, passionate about socially important projects, and motivated to deliver superior, tangible results.
