Job Description

Cambridge Forums Inc. has been creating cornerstone meetings for preeminent advisors,executives, and public-sector leaders for over 15 years. We are seeking an Administrative Associate to add to our team of experienced and service-focused professionals. Our ideal candidate will exhibit a balance of skills in administration including writing, coordination, and multitasking, as well as keen attention to detail and a strong commitment to excellence in delivering our offerings.For more information about our organization, please visit us at www.cambridgeforums.com.Reporting to the Director, Program Communications, the Administrative Associate provides functional support to ensure efficient and timely execution of deliverables in various areas of the business.The position involves contact with both internal and external stakeholders. Duties andresponsibilities include but are not limited to those in the job description below.

  • Client Relationship Management (“CRM”) database functions, including data entry, queries, data drops, data pulls, and overall management/maintenance of data.
  • Complete templated communications, circulate for internal review, add to our third-party email service provider, and ensure their accuracy.
  • Transfer information from written paper documents to Excel and Word, ensuring accuracy and correct formatting.
  • Ensure accuracy of program profiles and tracking/management of key data & communications related to Participants, Discussion Leaders, Steering Committees, and special guests through adherence to standards, use of document templates, effective database management, and other resources.
  • May include inputting website content into our CMS, WordPress, for an assigned portion of forum websites, ensuring all pieces are rendering correctly on the front-end, completing review & deadlines, and ensuring accuracy of information.
  • Obtaining and managing CPD information related to our participants.
  • Completing necessary CPD applications for each forum, including making payment arrangements as necessary.
  • Creating and issuing CPD certificates to participants.
  • Responding to any CPD-related inquiries from participants.
  • Provide critical, day-to-day support to key members of the Program Operations Team and client-facing Forum Directors.
  • Responsible for self-management and moving priorities and initiatives forward.
  • Reconcile project(s) status and escalate where necessary to keep delivery on track.
  • Update, communicate, and provide pertinent information to production team, Managers, and Directors.

  • 2+ years of administrative experience

  • Ability to communicate clearly and concisely with a client-centric approach
  • Research and analysis
  • Basic-level skills with Microsoft Office
  • Working knowledge of CRM systems, WordPress, and Active Campaign is an asset
Job Type: Full-timeSalary: $15.00-$29.92 per hourSchedule:
  • 8 hour shift

Education:
  • Secondary School (preferred)
Experience:
  • Front desk: 1 year (preferred)
  • Administrative experience: 1 year (preferred)
