The Associate, Enterprise Vendor Governance and Procurement (“Associate”) will support the department by developing and advancing the monitoring and reporting aspects of the function. Extracting, cleansing, classifying, and analyzing vendor spend data will be an integral responsibility of this role to drive improved efficiency, management of costs, and monitoring controls and compliance.Collaborating with internal stakeholders across cross-functional teams to identify financial reporting needs and deliver category and vendor spend analysis will be a key responsibility of this role.The Associate will maintain and publish enterprise-wide vendor reports and will conduct detailed spend analysis to deliver enhanced monitoring and reporting on overall spend trends, and any other material information.In addition, the Associate will develop relevant reports and facilitate operationalizing departmental processes related to the vendor management lifecycle including sourcing, risk management, contract management, performance management and vendor offboarding.Key Responsibilities:
  • Extract analyze and cleanse spend data to support report development and provide visibility into enterprise vendors.
  • Develop vendor spend reports and dashboards at the enterprise and department level for business stakeholders and senior management to support informed vendor spend decisions and realize cost efficiencies.
  • Establish additional vendor spend reports by service description, GL account, criticality, segmentation, or any other relevant criteria.
  • Development and distribution of key reports on a monthly or quarterly basis.
  • Investigate and respond to ad-hoc vendor spend requests within a timely manner.
  • Consolidate the enterprise spend and fees paid for a subset of Preferred Vendors to feed into the quarterly Relationship Management Report.
  • Update and maintain vendor profile attributes in Oracle or other systems where required.
  • Collaborate with internal stakeholders to understand reporting needs and translate needs into meaningful reports.
  • Assist with developing performance metrics and reporting for Preferred or business critical vendors.
  • Assist with developing reports and establishing monitoring mechanisms for departmental processes across the procurement and vendor management lifecycle.
QualificationsEducation
  • Undergraduate degree in a relevant discipline (Information Systems, Business Administration, or Financial Management).
  • Post-secondary certification in business process optimization, spend analysis, spend management, or related discipline is an asset.
Desired Experience
  • Five (5) years of experience in a public or private sector company or investment management organization.
  • Asset to have understanding of category management, sourcing lifecycle, and vendor risk and performance management frameworks.
  • Strong knowledge and practical experience with best practices related to spend analysis, spend management, or cost reporting with the ability to analyze and identify value and opportunities.
  • Advanced Microsoft Excel skills including building dashboards, using pivot tables, Power Pivots, and creating complex formulas is required.
  • Expertise in using Business Intelligence tools (e.g., Tableau) and familiarity with business analytics and process optimization.
  • Proficient with identifying data/information gaps and resourceful to gather unknown details.
  • Ability to synthesize large amounts of data and information from multiple sources to deliver reporting and monitoring functionality.
  • Effective communicator both verbally and in writing with strong interpersonal skills.
  • Ability to evaluate, prioritize and troubleshoot issues independently with a high degree of accuracy.
  • Excellent organizational skills with superior attention to detail to successfully manage multiple priorities while meeting deadlines.
  • Strategically oriented, inquisitive, and comfortable with ambiguity.
