Job Description

DUTIES & RESPONSIBILITIES:Reporting directly to the Clinical Leader/Manager, the Clerical Assistant will be responsible for performing a broad range of administrative, secretarial, word processing and business support services for a patient care unit. As a highly organized, self-motivated, results-oriented individual, you will be accountable for:

  • Providing administrative and secretarial support to the Clinical Leader/Manager as well as other members of the patient care team;
  • Scheduling patient procedures as well as outpatient follow-ups using state-of-the-art computer software;
  • Liaising with various hospital departments such as billing, purchasing, etc. to exchange information and to resolve issues;
  • Utilizing computer equipment and various software packages, i.e. word processing, spreadsheets, graphics, etc. to generate a variety of correspondence, reports and documentation;
  • Operating multi-line telephones, greeting and receiving visitors (patients, families, etc.) and responding to inquiries including patient safety concerns and taking appropriate corrective action;
  • Transcribing and processing physician orders in a timely and efficient manner;
  • Collecting unit statistics including nursing workload measurement.
QUALIFICATIONS:
  • Successful completion of a Medical Terminology certificate
  • Graduate of a recognized Medical Administration program, or equivalent experience
  • Proficient computer skills with advanced knowledge of word processing, spreadsheet applications, graphic and desktop publishing software
  • Demonstrated oral English language skills to communicate with patients and team members with the ability to operate multi-line telephones, respond to inquiries and redirect calls as appropriate.
  • Excellent interpersonal and communication skills, with an ability to clarify priorities amongst CLM and physician(s)
  • Professional and consistent customer service skills
  • Recent administrative experience in a fast paced clinic/health care environment ordering supplies, filing reports, compiling statistical information, faxing
  • Excellent attendance and performance record required
  • Accuracy and attention to detail when performing a variety of tasks is essential
  • Ability to thrive in an environment that may require different activities to be performed on short notice
