Job Description

The primary role of a Clerical Assistant is to provide administrative and clerical support to the daily operations of the Clinic. The Clerical Assistant will rotate through the various job assignments on a regular and as needed basis. Clerical Staff are expected to perform proficiently in all areas as described below.RESPONSIBILITIES

  • Provide professional and personable first contact by phone, in person and electronically for patients, staff and visitors
  • Perform reception duties which include booking appointments; taking referrals for outpatients; answering the telephone and taking messages; Re-direct all other inquiries as appropriate; Re-schedule as necessary (mail appointment detail notices as required)
  • Type memorandums, letters, forms, minutes and other information
  • Enter data for statistics; Perform other clerical duties such as; photocopying; faxing; and mailings; orders and maintains inventory of supplies and equipment
  • Prepare clinic room pre, in –room and post patient visit- according to the clinic specialty processes including available requisition and functioning of equipment
  • Interact with multiple stakeholders such as physicians, clinical staff (RN, CA, Health Disciplines), patients, families, visitors, volunteers and intradepartmental supports (diagnostics, housekeeping, portering)
  • Effectively manage, reprioritizing and scheduling of Intake Process
QUALIFICATIONS
  • Graduate of a recognized Office Administration program or equivalent
  • Requires a Medical Terminology Certificate
  • Must be proficient in Microsoft Word, Excel, PowerPoint, Outlook, ADT, Soarian scheduling
  • Communicate clearly and fluently in English
  • Excellent interpersonal and communication skills
  • Good judgment and discretion
  • Work well under pressure
  • Highly organized and efficient time manager
  • Problem solver
  • Flexibility in rotating job assignments
