Job Description

Mazenga Building Group Ltd. is a Toronto-based construction management firm established to provide clients with an unmatched level of attention, care, and customized management style. Our team strives to streamline the construction management process to deliver exceptional client satisfaction.Our office in Toronto, ON is looking for a Full Time Project Administrator to provide support to various administrative projects as well as support to the Senior Project Manager on specific construction projects.Duties and Responsibilities

  • Ensuring appropriate document control and compliance through filing, composing and editing documents and reports, sub contracts/quotes, spread comparisons and drawings
  • Assist in the transition of current company project processes into BuilderTrend software
  • Update Project Management platform (BuilderTrend and G Drive) and internal trackers as needed for weekly project review
  • Project Startup: Ordering of site signage for new job sites, initiating contract with third party safety consultants (SDS), register Notice of Project with Ministry of Labour, transfer project files from Business Development to current Job Files in the G Drive, setup project in BuilderTrend including project team
  • Preparation of project deliverables including: tracking and creating of templates and logs for RFIs, Change Orders, Purchase Orders, Subcontract Orders, Submittals, and Agreements
  • Assist in monitoring the construction schedule to deliver the project on time and under budget.
  • Assist in the completion of applications for: City Permits, Hydro/Gas Utilities, and Electrical Safety Authority (ESA) for planned construction activities
  • Responsible for the Management of current subcontractor documents such as WSIB coverage (Clearance Certificate), Certificate of Liability Insurance and ensure they are obtained prior to commencing work on site
  • Work with the APM to prepare, maintain, and update project meeting minutes, monthly progress reports highlighting schedule impacts, EOT’s and critical deadlines
  • Advise Project Manager of potential problems, and assist in resolving issues
  • Assist the Senior PM to prepare the weekly Labour schedule
  • Project Closeout: prepare the closeout binder including the Operations and Maintenance Manuals, finish schedules, trade lists, Tarion Information and Warranty information. Ensure closeout of all permits.
  • Other duties as assigned.
Qualifications
  • Certificate in Construction/Project Management or Similar
  • Experience with BuilderTrend is an asset
  • Previous experience working with a Builder/Constructor in an administrative capacity
  • Advanced skills in Microsoft Office Suite including MS Projects and GSuites
  • Strong communication, organizational and interpersonal skills
  • Ability to deal effectively with a heavy volume of projects with tight deadlines
  • Ability to support the project team and help overcome problematic situations.
  • Working knowledge of scheduling, project management and contract software
  • Minimum of two years of construction administrative experience or an equivalent combination of training and experience
