Reporting to the Director, Construction, you will provide coordination and administrative support to the team, helping to advance the growth of a robust industrial development pipeline.Working at Oxford, as a key member of an engaged, high-reaching team—part of an outstanding, winning culture that prioritizes people development and focuses on long-term growth. We go above and beyond to protect and grow relationships by anticipating needs, being transparent and conscientious, and valuing customers as genuine partners.As a member of this team, you will be responsible for:Project AdministrationAssist with presentations and coordinate production of monthly reports, project drawings, and files;Assist in the preparation of Request for Proposal documents and other procurement-related tasks;Build and maintain development project files, including Department standard process documents;Handle filing of contracts, service agreements, and additional service requests;Coordinate legal review of contract, service agreements, and additional service requests with legal, risk, and project teamsHandle all department paper flow and ensure appropriate stakeholders receive necessary; information/approval documentation;Prepare written and email correspondence.Accounting and Financial ReportingCoordinate all project and G&A accounts payables and invoice input and accruals tracking;Ensure clear and correlated tracking of agreements and invoices by project, work with the project team to track committed spend vs actual spend vs. budgeted spendAssist in processing monthly construction progress claims;Maintain Change Order Logs on active construction projects;SME and resource for internal systems including JDE, Oasis, Basware, etc.Ensure vendors are set up in our systems including Procore and Basware;Maintain KPI (Key Performance Indicator) tracking for the team.General Administrative SupportMaintain department drawings room;Coordinate internal and external meetings; prepare meeting minutes;Maintain calendars/schedules for department VP’s, Directors, and Managers;Make travel arrangements; process expense reports;Maintain Contacts/Address Books for department staff.To succeed in this role, you have :A university or college degree in Business, Engineering, Architecture, Project Management, or Planning (or related field).Minimum of 5 years of administration experience, specifically relating to project coordination. .Outstanding organizational skills, ability to multi-task and self-manage competing priorities, and capability to meet tight deadlines and urgent demands.Strong attention to detail and accuracy.Excellent interpersonal and communication skills.Proficiency in MS Word, Excel, PowerPoint, and Sharepoint systems required.Direct development, construction, and/or project management experience is an asset.Our story:Oxford Properties Group (“Oxford”) is a leading global real estate investor, asset manager and business builder.
