Job Description

Customs and Freight Coordinator Is responsible for arranging and coordinating the transportation services for H.A. Kidd and Bartim. Focus is, but not limited to, domestic and cross border over the road and intermodal shipments.Please note that below Job duties include, but are not limited to:

  • Prioritize, schedule and route shipments and arrange for transportation throughout North America.
  • Expedite Air freight and OTR on time delivery is a major plus
  • Prepare AIR freight quote upon request
  • Obtain Proof of Deliveries (POD’s) on all orders.
  • Process cargo manifests, calculate charges and coordinate all areas of freight release.
  • Work with contract and third-party transportation service providers to ensure on-time delivery performance. Effective communication with them is essential to ensure shipments are executed timely and accurately.
  • Work with vend or specific websites to set up and track shipments.
  • Track the shipment update buyers and update Incoming Shipment Calendar accordingly
  • follow up on OBL (i.e. original B/L) or Telex Release, ensure shipment is carrier released and Customs released Prior to Cargo arrival
  • Ocean shipment - request payment approval on terminal handling charges upon receipt of carrier’s invoice, and follow up on the payment, email back the payment copy to the carrier for shipment release
  • Request payment approval on dock fee and/or door delivery charges, follow up on the payment, and update as deemed appropriate
  • Print Freight Invoices and update Landed Cost spreadsheet with actual cost.
  • Communicate with Purchasing and buyers as deemed appropriate
  • Prepare Export papers for shipments Export to and from US, Australia, and/or any other countries outside of Canada
  • File claims for damage, shortage, or lost shipments if receive claim requirement from internal team
  • LVS entry - Completing Low Value Shipments (LVS) entries. Due before the 24th of every month
  • Verify transaction number, duty & taxes amount, GL code the statement, and pass the copy to accounting department for payment processing … due on the day of 25thor the following business day
  • Other duties as assigned
Requirements:
  • At least 2 years relevant experience within a freight brokerage environment is a requirement. *Non asset 3PL environment is an asset*
  • Good understanding of the transportation industry and related documents requirement
  • Must have exceptional communication skills both written and verbal
  • Must possess good negotiation skills and excellent judgment
  • Must have excellent customer service skills, a strong work ethic with exception interpersonal skills
  • Well Organized, detail oriented with the ability to multi-task, manage priorities, work under pressure and take on additional tasks
  • Ability to work in a fast-paced environment with minimal supervision
  • Knowledge of Microsoft Office; must be proficient with excel, and ability to use and apply various software systems and tools to assist in finding equipment/freight, calculating rates and managing order transactions.
