Job Description

The primary role of the Administrative Assistant – Division of Neurosurgery Department, includes performing a broad range of essential administrative, secretarial and business support services for the department/unit; providing word processing/typing services to meet the needs of the manager/department/unit; maintaining responsibility for coordinating and scheduling appointments, in a timely manner; providing administrative support for small and/or medium size meetings; maintaining electronic and/or paper filing system; performing financial responsibilities, within scope of authority, and contributes with a positive attitude.DUTIES & RESPONSIBILITIES:

  • Performs organizational and administrative support to the Program.
  • Types correspondence related to the department.
  • Transcription of medical/legal assessment reports; some editing and reformatting as required.
  • Maintenance of clinical filing system.
  • Interaction with clinical consultants and patients as necessary.
  • Supports the Division Head
  • Organizes and coordinates meetings including; room booking, catering, audiovisual support and materials.
  • Responsible for the coordination of new hires/research staff, summer students etc.
  • Complete ShopIT requests for staff and new hires/summer students, Research Staff/Faculty.
  • Assist with emails and correspondence, reference letters.
  • Assist with coordination of special events visiting Professors etc.
  • Data entry of the biweekly payroll, resolve payroll.
  • Division accounting - Maintains the AEF.
  • Pay divisional bills.
  • Responsible for the coordination of Fellows hiring and assists with Fellows issues as needed, PEAPS etc.
  • Arrange ENITS.
  • Responsible for call/OR schedules for faculty. Maintains stats for Call and OR.
  • Responsible for entering call on the hospital system. Resident clinic schedule.
  • Assist with maintaining CVs.
QUALIFICATIONS:
  • Graduate of a recognized office Administration Program and/or equivalent combination of education and experience.
  • Minimum of 2 years administrative experience in a Hospital setting required
  • Accurate typing/word processing skills at the 55-75 wpm level.
  • Knowledge of Medical/Legal terminology a definite asset.
  • Demonstrated proficiency with MS Word, Excel, Access and SPSS.
  • Excellent organizational, interpersonal and communication skills are essential.
  • Demonstrated ability to work independently and as part of a multidisciplinary team.
  • Ability to function in a busy environment, prioritize workload and meet deadlines in a timely fashion.
  • Must have an excellent attendance record.
