Job Description

Reporting to the Clinical Leader Manager, the Education Program & Project Coordinator coordinates and oversees the Educational Program and Quality Improvement projects for the Obstetrics and Gynecology Department at St. Michael’s Hospital site of Unity Health Toronto. The Educational Program includes the Undergraduate (medical students) Program (13+ students a year), Elective Medical Students, Residents, and Fellows, Postgraduate (Residency) Program (24+ residents per year), Faculty Professional Development Program, and The Quality Improvement Program.The Coordinator conducts high level management, analysis, and administration to support the Department of Obstetrics and Gynecology Postgraduate and Undergraduate program directors, the Postgraduate Curriculum Coordinator, the Postgraduate Academic Research Coordinator, the Faculty Development Lead, as well as the Quality Improvement Leads. In addition, the Coordinator coordinates quality improvement projects as identified by the Department of Obstetrics and Gynecology, engaging stakeholders as necessary and overseeing implementation as well as evaluation.Duties and Responsibilities:

  • Organize resident’s overall 5-year residency experience based on rotation capacity, learner’s level of competency and interest, and continuously monitors and adjusts schedules
  • Organize and coordinate medical student rotations in conjunction with the Undergraduate Program Director.
  • Organize, plan, administer, and coordinate resident orientation with Unity Health Department of Medical Education, including but not limited to organizing and updating orientation material and resources and organizing and administering orientation sessions.
  • Coordinate all aspects of all learner evaluations and examinations as well as evaluations of Department of Obstetrics and Gynecology Residents and Teachers, via the University of Toronto Medsis and POWER on-line evaluation systems
  • Coordinate Department of Obstetrics and Gynecology undergraduate teaching scheduling.
  • Maintaining Education Program financial records including bank accounts and specialty funds by tracking, issuing and depositing and reconciling of funds as appropriate for all expense reports
  • Liaises with the Department of Obstetrics and Gynecology to obtain the vision/goal for small scale projects; utilizes information received to facilitate the project planning, development and implementation process that is focused on a single area at any given time;
  • Ensures appropriate mechanisms are in place for the optimal delivery of projects, including best practices guidelines and tools for the effective management and execution of projects;
  • Conducts needs assessment for small scale projects to facilitate defining project plans, deliverables, schedules and timelines to meet identified goals;
  • Utilizes quantitative and qualitative analytical tools to support decision making to advance projects
  • Manages straightforward/small scale project plans to ensure projects are delivered on time/on budget and in compliance with legislated requirement.
  • Participates in required meetings and/or on committees which may have an impact on project /corporate initiatives;
  • Initiates and develops respectful and collaborative working relationships with peers/associates across the Hospitals to foster a more productive and satisfying environment for staff and patients;
  • Initiates and develops effective working relationships with external professional associations and peers in other health care institutions to keep up to date on current/emerging legislation, developments and trends;
  • Represents the department on committees, corporate initiatives and through other venues, as required to advance the Hospital mission, values and goals
Qualifications:
  • 3-5 years required of recent experience in administrative /coordination role;
  • 3 years recent experience in healthcare and/or higher education setting preferred;
  • Minimum 2 years previous project management experience required;
  • Understanding of Medical Terminology;
  • Analytical and problem solving skills;
  • 2-5 years of recent, related experience required;
  • Excellent organization, communication, decision making / problem solving, and interpersonal skills;
  • Demonstrated ability to work independently and multi-task;
  • Demonstrated ability to work within a team;
  • Demonstrated flexibility in responding to work demands and time lines;
  • Great attention to detail;
  • Strong work ethic and willingness to work flexible hours, when needed;
  • Knowledge and experience hospital and or university/college environment an asset;
  • Customer service background an asset;
  • Demonstrated skill in building and supporting collaborations, across multiple organizations, locations and functions to achieve a common goal;
  • Excellent computer and technology skills.
