The Events Coordinator assists in the design and execution of OMERS in-person, virtual and hybrid events that bring our brand to life. A member of the internal communications team, this role works closely with stakeholders across the enterprise, advising them of events best practices. This role also works closely with Data & Technology, Facilities and other business partners to ensure the superb delivery of program components and event logistics.Key responsibilities:Collaborate with business partners to support in-person, virtual and hybrid events by assisting with the planning and implementation process by providing best-in-class recommendationsDraft invite communications and event briefings.Manage online event registration (including technical testing of event registration systems, sending out calendar invites) and reporting outputs such as guest lists and name tags for attendees.Support the strategy for the events volunteer program by managing the program to recruit and communicate with volunteers for various events and programs.Assist with the development of event promotional materials (event invite, digital board ads, etc.) and ensuring they are deployed in our channels (email, intranet, digital boards, newsletters, etc.)Responsible for ensuring that company standards are applied all events and townhalls.Assist in managing budget, processing invoices and tracking expenses.Responsible for scheduling events with business partners and managing the global events calendar.Prepare post-event reports.Skills and attributes for success:You are excited about the idea of doing creative and meaningful work, by bringing OMERS culture to life through live, hybrid and virtual events.You exhibit excellent communication and interpersonal skills to build effective and trusted partnerships with internal and external stakeholders, at all levels.You can juggle priorities and adapt in a busy and ever-changing environment, balancing the management of multiple large-scale concurrent events and adhering to strict deadlines.You can stay calm, quickly assess and deal with complications and difficulties to ensure client satisfactionYou are comfortable testing new technology and event platforms.You can work outside of regular working hours as required, including extended hours, holidays and weekends during busy periods and peak seasons.To qualify for the role, you must have:A college or university degree in a related field, or equivalent on-the-job experience2-3 years demonstrated experience in event planning and managementExperience in customer service or other people-oriented fields desiredExceptional written, visual, and oral communications skillsA positive, “roll up the sleeves and get the job done†attitude with a strong sense of collaborationAbility to work independently and contribute to a team environmentOur story:Founded in 1962, OMERS is one of Canada’s largest defined benefit pension plans, with $121 billion in net assets as at December 31, 2021.
