VPRI provides a full range of services including guidance to faculty, staff and students on funding opportunities, research agreement negotiation, oversight and accountability services including research accounting, environmental health and safety, innovation and entrepreneurship, partnerships, policies and procedures, and institutional awards and honours.Position Summary:The Executive Assistant provides a high level of pro-active executive-level confidential administrative support to the Associate Vice-President & Vice-Provost, Strategic Initiatives (AVP/VP,SI) and the Associate Vice-President Research (AVP,R). The incumbent takes functional direction from the supported executives and operates as the first point of contact and key administrative representative for the Institutional Strategic Initiatives Office. In a highly self-directed manner, this role provides support in the following ways: managing all aspects of the complex and intensive appointment schedules for the AVP/VP,SI and AVP,R; provides administrative support to the offices; plans and organizes meetings, events and travel; drafts correspondence and related documents (e.g., memos, minutes, reports, presentations) and works on special projects. The incumbent resolves issues and answers inquiries within established parameters and based on the understanding of the portfolios and priorities, ensuring the appropriate executive(s) are informed of pertinent issues. The incumbent works in a complex environment that requires a high degree of sensitivity, responsiveness and a need to maintain confidentiality. The incumbent must present a professional image in the office by interacting knowledgeably and courteously with the many people who come into contact with the office senior administrators, faculty, staff, students and community members. The scope of this position is driven by the complex range of responsibilities undertaken by the executive(s).Essential Qualifications:Education:College diploma or degree in business administration or related field or an equivalent combination of education and experience.Experience:Four (4) years of experience in progressively responsible administrative roles including providing experience to senior executive and committees. Experience working in an academic environment is a strong asset.Skills:Proficient with standard office software programs including Word, PowerPoint, Excel spreadsheets and scheduling software.Other:Excellent oral and written communication skills as well as interpersonal skills. Pro-active with the ability to identify and anticipate needs of others, and to manage competing priorities and meet deadlines. Meticulous organizational skills, demonstrated initiative and problem-solving orientation. Demonstrated flexibility and adaptability within a constantly changing environment. Must be able to deal with confidential information; demonstrated diplomacy, tact, judgement and discretion.
