The EA participates in or leads administrative tasks or projects for the SD of SHNRIIn addition, as part of the Executive Assistant Team, they will provide coverage for other team members and participate in or lead administrative tasks or projects for the whole team.The Executive Assistant is a strong, independent resource, an integral team member who is proactive, flexible as well as competent in determining priorities, exercising excellent judgement, and discretion with confidential information in this challenging position which supports and promotes positive internal and external relationships.Company Vacancy/Request for Transfer:The completion of this online form serves as your application and will be used to determine if you meet the requirements of this position. Please ensure that you have provided all pertinent information necessary to be considered for this vacancy by the close date.Responsibilities:Applying a broad-based level of knowledge of SHN policies and administrative practices and procedures and/or word processing, office management software and office equipment usage, the Executive Assistant:

  • Interprets and advises on broader and highly confidential SHN administrative/business support practices and procedures.
  • Coordinates and executive agendas, meetings, arrangements handling confidential information and documentation.
  • Coordinates the process of research and educational activities in relation to partnerships with University of Toronto and Toronto Academic Health Science Network (TAHSN).
Requirements:
  • College degree/diploma in Business Administration or Administration or related studies
  • Minimum three (3) years administrative experience at a senior management level
  • Keyboarding skills of 50wpm, 95% accuracy (tested)
  • Advanced computer proficiency in MS Office (including Word, Excel, Power Point, Outlook) (tested)
  • Experience preparing agendas/packages and meeting minutes
  • Project management skills
  • Proven ability to design set-ups, formats, charts etc
  • Proven ability to coordinate multiple projects and meet tight deadlines
  • Excellent time management, prioritization, decision-making, problem-solving and organizational skills
  • Ability to take initiative and work independently and proactively under pressure
  • Excellent interpersonal, communication, spoken and written, with the ability to interact with a wide range of stakeholders with professionalism, tact and diplomacy
  • Satisfactory work performance and attendance record
