In this role you will be supporting some key members of our Executive leadership team. You will provide high-level confidential administrative support to the Executive Leadership team, and in so doing promote a positive and professional image for Alida with clients, and other external and internal audiences. This is a vital role for the company and requires someone who has amazing attention to detail and is dedicated to the success of the team. Come join us!Please note, due to the nature of the role, you will need to be in our Toronto office at least 3 days per week.Responsibilities

    • Provide world class support to members of the Executive leadership team
    • Manage, coordinate and maintain calendars and mailboxes, schedule appointments and arrange complex meetings, including board meeting packages, and handle all other meeting material preparation of documents, emails, letters, presentations
    • Coordinate extensive and sometimes complex domestic and international travel arrangements, hotels and itineraries (when we can travel again).
    • Plan and coordinate for onsite and offsite meetings, meeting rooms, special functions and events including logistics such as location, meals, technology, communication, materials and RSVP’s
    • Complete and process expense reports, invoice approvals, professional registrations
    • Serve as the main point of contact for inquiries about meetings, scheduling, communications and information requests
    • Proactively resolve any issues in a professional and calm manner
    • Deal with confidential and sensitive issues requiring a high level of discretion and tact
    • Creating and maintaining metric dashboards for our sales team as required
    • Manage a variety of key projects and initiatives and other tasks as required
    • Acts with the highest level of professionalism and integrity while engaging with our employees across the globe
About You
    • You have strong business acumen with a growth mindset and intuitive ability to predict the needs of the leaders you support
    • Minimum 3 years of executive support level experience, and 5 years of administrative support level, preferably in an international professional services work environment
    • Excellent computer literacy in the G-suite and MS Office Suite including advanced skills in PowerPoint, Excel and Word
    • Demonstrated strength in time management and organizational skills with the ability to multi-task in a fast paced and demanding environment
    • A good understanding of metrics and analytics is a value add to the leaders you support
    • You act with a sense of urgency, responsiveness and initiative while taking ownership and pride in your performance and its impact on our company success
    • Flexible with the ability to learn and adapt quickly to last-minute changes and changing priorities while taking them in stride and maintaining your poise with a positive attitude and motivating spirit
    • Take initiative to identify and execute upcoming tasks and projects
    • Previous experience working in software companies with an agile culture is a definite asset
    • Strong written and excellent interpersonal and communication skills are an absolute must
    • A creative problem solver and enjoy taking on new challenges
    • Demonstrated team player, ability to collaborate and work with all levels of the organization
    • A high level of professionalism, discretion and diplomacy with demonstrated ability to establish and maintain relationships with internal, external business partners and our customers
