We are looking for a project planner and strategic thinker with an information management and information technology (IM and IT) background that can help the ministry modernize paper records management. What can I expect to do in this roleComplete digitization of records in the Ministry of Northern Development, Mines, Natural Resources and Forestry is a key component to enabling a remote workforce. In this role, you will have several key deliverables including the following:
  • scope and plan a multi-year project to digitize paper records across the ministry in alignment with the recovery and renewal priority of creating a resilient and remote work-force. The plan will ensure a methodical rollout of the activities reducing the possibility of errors, oversights, or confusion
  • work to set standardized criteria for records that can be considered in the multi-year project
  • research procurement options for scanning, create a plan for carrying out the scanning across various program areas
  • identify program leads across the province to support the implementation of the project
  • support the creation of digitization standards will support quality and consistency of the scans and ensure the information is discoverable
  • Work with Mapping and Information Resources Branch staff to identify IM & IT requirements for newly scanned records.
How do I qualifyProject Management Skills
  • You have project management skills and techniques to plan, monitor and lead multiple concurrent projects within competing priorities.
  • You have experience providing technical guidance, advice and coaching to project staff.
  • You have experience developing project charters and providing project management advice and support
Technical Expertise
  • You have specialized knowledge of theory, principles and practices as well as standards and procedures related to information management (IM) and information technologies (IT).
  • You have knowledge and understanding of policies, procedures and best practices related to recordkeeping, file plan structures and records retention to develop policies and processes for the ministry.
  • You have knowledge of IM and IT management programs to identify needs and develop practical solutions.
  • You can interpret and apply relevant acts, regulations, policies and guidelines used to manage information in the Ontario Public Service (OPS), including the Archives and Recordkeeping Act, Freedom of Information and Protection of Privacy Act, Integrated Accessibility Standards Regulation, and IM and IT Strategy to provide information and advice in compliance with requirements.
Interpersonal and Communication Skills:
  • You have strong relationship building skills, tact and diplomacy to develop trust and credibility with clients, senior management and stakeholders.
  • You have consultation and facilitation skills to establish working relationships and gather information relating to technical needs and priorities.
  • You have persuasion and collaboration skills to consult with clients on requirements, meet mutual goals and make recommendations on the most appropriate course of action.
  • You have well developed oral communication and writing techniques to effectively prepare reports and make presentations.
Analytical and Problem-Solving Skills
  • You can evaluate, assess trends, standards and policies in a complex and evolving environment in order to identify requirements and develop options/recommendations on general and specific IM issues.
  • You have analytical and problem-solving skills to identify, assess and recommend on customer-focused delivery of services and the benefits in utilizing leading-edge technology.
  • You have strategic thinking and political acuity to participate in strategic and operational planning.
  • You have analytical and problem-solving skills to identify, assess and recommend priorities.
  • You have experience developing performance measures and metrics for evaluation of service levels and develop plans for problem resolution situations
Risk Management
  • You are familiar with risk assessment and risk management principles to make recommendations to complex issues.
  • You can identify, assess and make recommendations on problems, issues and trends noted in service delivery by service providers
