Job Description

Do you have strong organizational skills and are deadline driven Do you consider yourself a creative problem solver who doesn’t take no for an answer Are you passionate about social justice If you’ve answered yes, we’d love to hear from you!The Law Office of Brittany Sherwood is looking to add an ambitious, organized and ‘out side the box’ thinker to the team! In this role, you will be responsible for; answering the phone line and responding or escalating calls appropriately; opening files, updating dockets or case information; managing billing and creating pre-bills. This person will be working closely with various government agencies and courts throughout Ontario, as well as opposing counsel offices and, specifically, Legal Aid Ontario. Essentially, we envision this person executing and leading the ‘business’ processes while our lawyer can continue to focus on excelling in her lawyer responsibilities.This position reports directly to Brittany Sherwood, however, there may be cross support to other lawyer colleagues. This position is a part-time position (approximately 20 hours per week) with a fantastic opportunity for growth in hours and in role responsibilities. This role is a remote position with the occasional visit to the office (1 -2x a month). The office is located in downtown Toronto near Kensington Market. Hours can be flexible for this role; however, phone lines are open from 8:30am – 5:30pm.Roles and Responsibilities

  • Manage company phone line, by providing warm greeting and efficiently forwarding their call appropriately
  • Manage calendar and upcoming court dates
  • Provide regular communication and updates to clients, counsel and other third parties
  • Initiate, maintain and close case files
  • Update files with pertinent case information, setting and managing new deadlines as outlined in files
  • Scheduling and tracking appointments, follow-ups and deadlines around case filings
  • Manage all client billing procedures and creating pre-bills
  • Becoming a subject matter expect around Legal Aid procedures and local court offices timelines and filings
  • Assisting on trial preparations as needed
  • Other duties as assigned
Qualifications
  • Completion, or in the process of completing, Office Administration program or Executive Assistant Diploma
  • Minimum 2 years’ of customer service experience
  • Strong organizational skills with a keen eye for detail
  • Excellent communication skills, verbal and written
  • Proficient with technology, as law firm uses apps, zoom, and Microsoft Office
Part-time hours: 20 per weekJob Types: Part-time, PermanentSalary: $16.00-$18.00 per hourSchedule:
