Job Description

The RoleNorton Rose Fulbright Canada LLP is currently seeking an Office Services and Facilities Clerk to work in our Toronto office from Monday to Friday between the hours of 8:00 a.m. - 4:00 p.m. You will ensure that customer services is front of mind during all interactions. The successful candidate will report to the Office Services and Facilities Manager. The primary responsibilities of the position are outlined below.Responsibilities

  • Provide superb client service to all Firm members
  • Perform mailroom duties, including receipt, scanning and delivery of mail, courier requests and faxes
  • Operate the Digital Mail system ensuring timely delivery of all mail (digitally)
  • Perform office moves, prepare offices for arrivals and departures
  • Assist with boardroom set up, tear down, and AV troubleshooting
  • Loading/unloading mail carts and completing mail delivery
  • Perform facilities moves and tasks as required
  • Run high volume multifunction devices (MFDs) and perform binding and finishing work which includes scanning materials into DMS or onto USB devices
  • Provide key operator duties for MFDs, ensuring paper trays are replenished regularly
  • Provide relief for Reception coverage as required
  • Provide Catering relief coverage as required
  • Maintain Firm standards for site appearance, customer requirements, and day-to-day operations
  • Complete error-free customer requirements
  • Maintenance of inventory and ordering of supplie s
  • May be required to work outside of normal working hours from time to time
  • Perform other duties as assigned
Skills and Experience Required
  • Passionate about delivering exceptional service to ensure an exceptional client experience
  • Embodies a strong customer service ethic
  • Demonstrates a solutions driven approach with the ability to anticipate clients needs
  • Solid computer skills, including experience with Microsoft Office and EMS room management software or another similar boardroom booking program
  • High level of printing and binding experience, preferable for a law firm
  • Ability to lift 30+ pounds as necessary
  • Experience dealing with confidential issues in a discrete manner is essential
  • Ability to succeed in a team-based environment as well as excel independently
  • Strong organizational skills, knows how to follow processes and a keen attention to detail
  • Ability to successfully juggle multiple tasks in a time sensitive environment
  • Embraces change, collaboration and teamwork and can be flexible with working hours
