Capital and redevelopment projects are ongoing needs across Unity Health TorontoOperational Readiness is a process to identify, define, organize, and implement all of the deliverables and tasks that are required for the activation and occupation of new/redeveloped spaces in a logical, timely, safe and cost-effective manner that ensures consistent application of corporate priorities and principles.The Operational Readiness team facilitates and supports the clinical planning of new/redeveloped spaces, and the safe and effective transition of clinical programs and units and transformation of care into new/redeveloped spaces.The Operational Readiness Specialist reports to the Manager, Operational Readiness. As a member of the Operational Readiness Team, the Operational Readiness Specialist role bridges health care professionals, clinical and non-clinical programs, services and departments across all the three sites, to help key stakeholders understand and manage the impact of the overall project on existing processes of care and hospital operations, with the goal to improve and enhance the integration of services and care practices within the new facility.This transformation role includes leading operational readiness activities and facilitating service and user groups to advance network strategy, project vision and operational goals.Key responsibilities of the Operational Readiness Specialist include:Establish and maintain collaborative relationships with clinical programs and services, departments, integrated inter-professional teams and working groups, front line clinical staff and physiciansBlend clinical knowledge with facilitation expertise to engage, lead and facilitate planning sessions and work with clinical programs and services, departments, integrated inter-professional teams and working groups, to plan, analyze, resolve and ensure a thorough, detailed, systematic and effective identification and transition of clinical process and workflow changes that supports efficient, effective and safe patient-centred care and clinical best practicesLead and coordinate with internal stakeholders and departments and third parties, through detailed operational phasing to maintain transitional operations during renovations across the sites to minimize the impact on patients, families, staff, physicians and volunteersUtilize clinical and health care expertise to liaise with stakeholders and identify needs in order to advance the Hospital’s physical space and clinical IT systems with a focus on patient-centred care, patient safety, clinical best practices and infection prevention and control standardsUtilize clinical and health care expertise to conduct an analysis of projects and initiatives to identify overlap/duplication of effort and impact, identify potential solutions and lead change to ensure efficient, effective and safe patient-centred careIdentify and bring forward, emerging issues in the Operational Readiness planning process and assist with mitigation of any risks emerging from the daily work of the Operational Readiness teams and working groupsIdentifies options for creative, evidence-informed problem resolution of issues and risksLiaise and communicate relevant information and deliverables to the Operational Readiness teams and working groups, Planning and Redevelopment team, Professional Practice, staff and physicians, the Communication team, the Information Technology team and other key internal and external stakeholdersApplies depth of clinical knowledge in the provision of consultation and designs processes with Operational Readiness teams and task groups that enable strategic and efficient redesign and improvement of clinical/operational services and workflow, in preparation for transition into the new operationsEnsure new processes are properly integrated and communicated to internal and external stakeholdersSupport the integration activities as they relate to Planning and Redevelopment, and Operational ReadinessMonitor and employ standardization of project management, project documentation and reporting toolsDevelop a detailed project plan to monitor, coordinate and provide oversight for implementation of baseline workplan activities and integrated working groupsOrganize and facilitate regular meetings and collaborate with programs, services, departments, clinical leaders and physicians to plan, implement and evaluate operational readiness project activity – e.g. process, workflow, patient flow and transition planningWork with key stakeholders to manage changes to project scheduleCollaborate with key stakeholders to ensure the development and implementation of appropriate training and orientation of appropriate staff for all new processes, tools and systemsProvide guidance and support to staff during training and orientation ‘pre, during and post’ development/relocationCoordinate, maintain and ensure appropriate documentation of improvement initiatives, from development through implementation, to enable review/debrief processes upon completionFacilitates and participates in discussions on patient flow and care requirements to ensure the patient experience is at the forefront of the planning, meetings and post occupancy evaluationsAssist and collaborate with key stakeholders to support the achievement of Operational Readiness and Planning and Development project goals, deliverables and milestonesQUALIFICATIONS:Bachelor’s degree required or equivalent, relevant experience5 years clinical health care experienceWorking knowledge and experience with quality / service improvement principles and tools, with Lean Yellow Belt designation preferredExperience leading change and project management initiatives within interdisciplinary teamsProactive with a proven ability to manage multiple, competing priorities, achieve results and advance work plansExcellent analytical, organizational, problem solving and critical thinking skillsExcellent project management skillsExcellent leadership, change management and conflict resolution skillsExcellent interpersonal skills with demonstrated ability to build effective relationships, promote collaboration and reach consensus
