Here’s What You Get to Do: The SickKids Payroll Team processes bi-weekly payroll for over 9400 employees for four organizations, while maintaining client service standards and ensuring policy and legislative compliance.Reporting to the Payroll Manager, the Payroll Specialist is a member of the payroll team. Working closely with other team members, HR colleagues and internal clients, the successful candidate will have the following responsibilities:

  • Primary contact and relationship management for end-to-end processing of SickKids affiliate company payrolls i.e., SickKids Foundation, Boomerang, Sickkids Centre for Community Mental Health.
  • Lead and primary support for the Year End Reconciliation and Tax Filing Process for all companies, in conjunction with Payroll Manager.
  • Preparation and payment of all CRA, EHT and WSIB accounts and related reconciliations for all companies. Monthly reconciliation of these account payments to government statements.
  • Coordination and depositing of all overpayments. Processing year end adjustments as it relates to T4 totals.
  • Liase with Finance and other partners on Payroll related projects
  • Reconciliation of Finance and year end accounts when required.
  • Lead and /or participate with other team members and HR colleagues for Payroll Continuous Improvement initiatives and projects e.g., Online Time Adjustment project, Paper-Lite electronic automation project.
  • Working with Payroll Team SME’s, lead/ coordinate the Internal Education of clients (managers and staff) for timekeeping and other payroll critical items
  • Assist Payroll team with analytical, investigative work, follow-up, and resolution for outstanding payroll issues, and bringing issues to resolution e.g., employee pay issues, pay report errors, new or amendment of queries as required.
  • Assist Payroll Manager with the investigations and analytic information related to annual Public Sector Salary Disclosure report.
  • Provide Payroll data and analysis as required for various processes and requests from HR colleagues, internal clients, auditors, and external regulators.
  • Assist with the training for payroll students; develop and document a training plan for incoming students.
  • Ensure all payroll documentation is kept up to date, with input and assistance from the Payroll Team.
  • Coordinate and assist with overpayment recovery, ensuring timely follow-up, reporting and analysis of outstanding payments; and introduce measures to decrease overpayment incidents.
  • Assist the Payroll team with the verification and processing of payroll paperwork in high peak periods.
  • Back up to Payroll Systems Associate in peak times and in conjunction with cross training initiatives. Provide input and suggestions on process improvements as it relates to the use of the queries and investigations in the pay run process.
  • Processing of all non regular payroll items such as Involuntary terminations, government initiatives (e.g., Temporary Retention Incentive for Nurses, Temporary Pandemic Pay).
  • Lead the payroll retroactive process as it relates to the arbitration of the collective agreements ensuring the addition of the information rows and validation of the retro calcs provided are accurate.
  • Provide coverage for Payroll Manager when away as it relates to urgent pay items.
General Expectations
  • Apply knowledge of payroll concepts, legislation, regulations, accounting, calculations, and terminology.
  • Maintain positive internal /external relationships. Assist with Payroll Inquiries and investigations.
  • Respond to internal and external inquiries related to payroll in a timely manner.
  • Adhere to payroll audit requirements related to verification.
Here’s what you need:
  • 5-10 years payroll processing experience required, with CPM designation preferred, and PCP designation a must.
  • Understanding of end-to-end payroll is required; demonstrated experience with Oracle PeopleSoft HCM Payroll, Employee Records, and core HRIS environment is preferred
  • Experience in processing of health-care sector payroll; and knowledge of the various and diverse hospital employee payroll populations is an asset
  • Understanding of union and non-union work environments, along with relevant payroll administration for collective agreements.
  • Familiarity with Service Canada and Canadian Payroll Association standards.
  • Working knowledge of Ontario Employment Standards Act, Canada Revenue Agency, WSIB and other pertinent legislation.
  • Strong attention to detail and accuracy are a must.
  • Strong interpersonal and communication skills.

  • Understanding of privacy and confidentiality principles, policies, and legislation.
  • Ability to prioritize, manage time and multi-task within the confines of multiple deadlines.
  • Experience in conflict and issues resolution; preferably of a pay-related nature
  • General understanding of payroll-related Benefits administration
  • Understanding of continuous improvement processes and methodology; participation in previous continuous improvement initiatives is an asset
  • General knowledge of project methodology and previous participation in project work is an asset.
  • Intermediate Excel skills
