Surrey Place helps people learn new skills, gain self-confidence and reach their full potential.Position DescriptionReporting to the Manager, Core Autism Services, the Program Coordinator will deliver, support, and coordinate consistent administrative processes for Autism Services and Urgent Response Services within a satellite location.Main ResponsibilitiesAdministrative:

  • Responsible for monitoring and supporting coordination of scheduling coverage for Autism Core Services staff, including creation of schedule of service.
  • Inventory management, ordering of office, PPE, and program related supplies
    • Maintaining order/inventory of supplies for copy room; repairs/tickets; etc (e.g., toner request; connect with facilities as needed)
  • Assist with input of service data and uploading reports into CRM, including time entries and service plans.
  • Satellite based reception duties as required, including but not limited to:
    • Entry and exit of clients and families, paging clinicians
    • Directing inquiries effectively, including managing unscheduled in person arrivals
    • Greeting visitors, providing up to date information about services (website, contacts, etc.)
    • Ensuring reception is tidy, materials are stocked, including organization and maintenance of reception bulletin board
    • Receive deliveries at satellite sites and distribute mail, courier, etc.
  • Preparation and delivery of materials sent home to families related to site-based activities (e.g., fire drill, visitors, infection control, notifications).
  • Assist management with new staff orientation and onboarding processes and other increased support during probationary period.
  • Administrative support for mandatory trainings including training assigned by Supervisor, coordination with trainers, education coordinator
  • Coordination of supports for clients on as needed basis (eg. busing, Client Needs Fund)
Health and Safety
  • Responsible for the organization and coordination of safety drills as needed (e.g. fire drill, code yellow), in compliance with health and safety procedures and protocols.
  • Responsible for the maintenance of satellite emergency binders.
  • Submit help tickets for health and safety concerns.
  • Communicate and coordinate with facilities and property management needs related to building repairs, maintenance, and other important site updates (e.g. construction, building fire drill, parking, etc).
  • Support the monitoring and updating of IPAC tracking systems, including communication and completion of documentation with families.
Qualifications
  • 3 years of relevant experience in administrative coordination.
  • Post-secondary education in administration or business preferred.
  • Experience coordinating data and reports
  • Proficiency with Excel, Word, and Microsoft Office 365
  • Excellent internal and external customer service, communication and interpersonal skills.
  • Outstanding organizational skills.
  • Comfort working in a fast-paced environment and ability to coordinate multiple time-sensitive projects.
  • Fluency in a language other than English is considered an asset.
  • The successful candidate must provide an acceptable Vulnerable Sector Screening, and proof of being fully vaccinated for Covid-19.
  • This position may require some evening and Saturday work.
