Job Description

Please visit www.rcmusic.com for more information.What is the OpportunityThe Registrar is responsible for overseeing and ensuring the academic integrity of student records and documentation from pre-admission, advising of the admissions committee and matriculation. The Registrar is a primary contact for all students, as well as a liaison with external institutions such as the Ministry of Colleges and Universities.Main Duties & ResponsibilitiesApplication and Audition Process, Registration

  • Assists with generating acceptance packages, Student Cards, Registration Forms, and Library Cards.
  • Ensures appropriate course registration.
  • Maintains up to date class records (adding/dropping courses) in database.
  • Tracks student absences.
  • Data entry of midterm/final marks.
Budget
  • Assists with preparation of annual classroom and private teacher budget(s) for GGS.
Scheduling
  • Responsible for all aspects of class, instructor, exam, and chamber music jury scheduling.
Financial Aid
  • Manages and assists with the annual OSAP compliance audit.
  • Administers financial aid for all other provinces and territories
  • Administers financial aid for the National Student Loans Centre of Canada.
Students
  • Maintains central database for Program Plans for all students and graduates.
  • Manages all aspects of transcript process
  • Facilitates convocation of students.
Faculty
  • Confirms student enrolment in classes and generates class lists and mark sheets.
  • Manages course evaluation process which involves creating evaluation packages, entering responses into Survey program, reviewing responses and initiating actions (as required).
Academics (in partnership with the Director, Academics)
  • Creates and produces annual Academic Calendar.
  • Provides curriculum and/or course counseling, as required.
  • Interprets and evaluates transcripts for transfer credit.
  • Ensures adherence to Post-Secondary Education Choice and Excellence Act.
Meetings
  • The Registrar is a member of the following GGS committees: Management Committee, Academic Review Committee (Chair) and Divisional Committee (Chair).
  • Faculty and student meetings, as required.
Special Projects
  • Contributor to current project involving the development, testing, acceptance and adoption of a new GGS Student Information System.
  • Performs other duties as assigned.
Job Requirements:What Were Looking For
  • Bachelor’s degree or equivalent.
  • Registration experience in a post-secondary school environment.
  • 5+ years’ experience in an administrative capacity.
  • Knowledge of classical music and music pedagogy required.
  • Knowledge of music programs on a global basis at both the secondary and post-secondary level.
  • Knowledge of Ontario post-secondary system policies.
  • Sound judgment, tact, integrity, professionalism, and confidentiality.
  • Strong negotiation and stakeholder management skills and experience.
  • Excellent counselling, diplomatic and customer service skills.
  • Excellent organizational, communication and problem solving skills.
  • Positive attitude and ability to work both independently and in a collaborative team environment.
  • Ability to work under pressure.
  • Experience and comfort with a variety of software applications such as Student Information System functionality, Access and Publisher.
