Job Description

Our innovative programs have a lasting impact on the health, financial security and productivity of 24,000 workplaces.Providing support to the Senior Vice President, this individual will be responsible for: engaging & consulting across the research group, marketing and various LOB level to provide support for operational efficiencies.Preparing presentations and reports, content review and editing and coordination of resources and conducting secondary research to support reports and analytics.Responsibilities:Project Coordination

  • Project coordination & management: Driving projects to completion by developing project plans and timelines, identifying potential risks, solving barriers, clarifying project objectives, tracking progress, and providing support for completion.
  • Working with the internal Research and Analytics team to support the development of a analytic and survey tools
  • Assisting in organizing and facilitating critical thought leadership events to foster client engagement, networking opportunities and to showcase LifeWorks research and competencies
  • Collaborating and engaging with Marketing and other stakeholders for various projects (e.g. videos, website, events, etc..).
  • Providing monthly updates to direct manager with expected project completion dates.
Research
  • Key role in supporting secondary research and synthesizing research studies
  • Supporting adhoc research requests and formulating clear and concise reports to share broadly within internal teams.
Communications
  • Interpreting complex research and data sets and developing communications materials via presentation decks and accompanying notes, charts, video scripts, for a diverse audience to be able to grasp with ease.
  • Providing principal project leadership and supporting on video component of MHI surveys and the annual Employers Connect event, working with relevant internal departments such as Marketing and external stakeholders
  • Working with the internal creative team and website developer to understand how the website can be enhanced to provide clear information and be more user-friendly to increase website engagement.
Administrative Support
  • Maintaining consistent and effective communication in oral and written format with respective colleagues to ensure seamless collaboration and outcome of projects.
  • Receiving and compiling documents such as presentation decks, reports and video files/scripts to input into the translation portal to convert English text/dialogue into French and where necessary, requesting the assistance of a French speaking colleague to review before providing the documents to the appropriate departments.
  • Keeping up-to-date records of the Mental Health Index (MHI) presentation decks as well as videos, key messaging, and GIFs for ease of access for internal colleagues.
  • Coordinating and booking relevant meetings as well as taking high-level summary notes and actively participating in the meetings.
  • Working with suppliers to request financial quotes and submitting invoices through Workday with the appropriate approvals.
  • Managing the billing and accounts payable process.
  • Providing support to the internal research team in proofreading and editing presentation decks, research reports and other written documents.
  • Performing other regular and adhoc tasks as assigned/requested.
  • Managing information flow in a timely and accurate manner.
  • Collecting and assessing all incoming work requests and creating the required presentations.
Requirements:
  • Minimum of 5+ years of directly related work experience as an Administrative assistant, Executive Assistant or similar support role.
  • A project management designation would be an asset.
  • Bachelors Degree in Business Administration, Communications or Research Methodology
