Reporting to the Registrar & Assistant Dean, Students, the Student Services Officer: Scheduling, Records and Enrolment is responsible for maintaining academic records for current and previously registered students; monitors, assesses, updates and reconciles information pertaining to students’ academic status, registration, course enrolments, and scheduling.The incumbent is responsible for room bookings, course and room scheduling, classroom inventory, academic timetable changes and is the first point of contact for student enquiries.Your responsibilities will include:

  • Coordinating course schedules
  • Analyzing course enrollment and waitlisted numbers and recommending alternatives to course availability, offerings, scheduling
  • Analyzing and reconciling registration/status/program of study information
  • Identifying changes to student records that affect academic status and correcting status as required
  • Analyzing collections, records and/or reference administration processes and recommending improvements
  • Reviewing and assessing student records to determine academic standing and informing students of changes
  • Providing detailed information on processes, policies, and procedures. Acting as the first point of contact for student record enquiries
Essential Qualifications:
  • Bachelors degree or acceptable combination of equivalent education and experience.
  • Minimum two years of related experience in a registrarial student services environment.
  • Experience with student registration, academic records and grades reporting, conferring of degrees and academic course scheduling.
  • Experience with degree and program requirements in a post-secondary institution or division.
  • High level of proficiency and understanding of student information systems, specifically relational database structure, ROSI/ACORN and ROSI Express and a degree assessment/audit system (e.g., Degree Explorer).
  • Experience with Intranet Room Booking System, academic course/examination Scheduling Software and academic course/examination Scheduling Web Applications or similar systems.
  • Proven facility in providing effective and responsive customer service in a fast-paced, dynamic and demanding environment.
  • Advanced knowledge of Excel is a requirement for reporting and analysis.
  • Must possess excellent communication, and interpersonal skills, both written and verbal.
  • Demonstrated time management and organizational skills with the ability to effectively prioritize, multi-task and organize work.
  • Ability to analyze problems, identify key information and issues, and exercise initiative.
  • Adaptability, flexibility and ability to learn new tools and applications.
  • Follow rules and procedural processes related to Freedom of Information and Protection of Privacy Act (FIPPA).
