Job Description

Duties and Responsibilities

  • Support the sales, sourcing, and production teams in the accurate and timely completion of orders through the effective processing of orders, including, but not limited to quantities, quality, delivery, and inventory management
  • Review inventory levels and analyze stock requirements on a regular basis to ensure adequate inventory is available to fill/replenish orders; review inventory with customers and secure customer approval for orders as required; execute replenishment according to customers feedback in a timely and accurate manner
  • Manage supplier deliverables/actions (i.e., samples and shipment bookings) to ensure on-time delivery; maintain accurate ETA records in the system so information is readily available to authorized individuals; communicate accordingly to all interested parties -
  • Receives and manages proforma invoices from suppliers; ensures all data is accurate, investigates any anomalies with sourcing, and forwards all relevant documentation to the supplier within 2 (two) days of initial receipt
  • Maintain purchased goods inventory levels, product mix, and excess inventory levels throughout the Supply Chain, within prescribed guidelines provided by the corporation or customer, in approx. 3 locations including DDCs and 3PLs
  • Implement stock plans according to customers’ requirements determined during the product launch planning; review to ensure stock quantities meet customer needs; follow up with customer and/or Account Manager in the event of discrepancies
  • Create new product codes in Chempax when requested by the Dempsey Sales Team
  • Prepare and maintain purchasing files, reports, suppliers price lists, and freight costs electronically, including, setting up and maintenance of master data in the ERP system, in an accurate, organized, and current manner to ensure that information is readily available
  • Review and analyze monthly KPIs and provide Supply Chain Manager with variance report outlining the rationale for any positive or negative variances and recommendations for resolution
  • Liaise with Sales Managers on a regular basis to review and analyze sales history, forecasts, and demand fluctuation; prepare and analyze a variety of (Excel) reports related to Supply Chain initiatives, as assigned, to identify trends and to provide accurate and timely information to management for the purpose of making sound business decisions
  • Communicate and collaborate proactively across all levels of the organization and with external interested parties on an ongoing basis to determine supply needs, quality, and delivery requirements and to analyze information needs and functional requirements
  • Serve as a liaison with sales, customer service, shipping, receiving, accounting, and Supply Chain managers to provide desired customer service level and resolve conflicting demands
  • Resolve operational problems, product and/or customer complaints in a timely and accurate manner utilizing internal and external resources; receive and follow up on non-conformances by conducting a thorough investigation with internal and external resources and recommending options for resolution; refer to all areas outside own area of expertise or authority to the Supply Chain Manager
  • Assists in the development and maintenance of the Supply Chain Standard Operating Policies and Procedures manual and ensures compliance with same; identifies areas of enhancement by leveraging and simplifying processes and methodologies
  • Analyzes and tracks inventory data to ensure accuracy between physical inventory and reported inventory and investigates any discrepancies; reports variance accordingly and takes necessary corrective action, referring issues outside own area of expertise or authority to the Supply Chain Manager
  • Participate in the inventory audit process, including but not limited to monthly cycle counts and yearend inventory count - Schedule shipments with freight forwarders; track shipment bookings with suppliers to ensure timely delivery of goods; negotiate freight forwarders rates to ensure the most cost-effective shipping rates possible; receive approval from next level of management in the event expedited shipping is required
  • Work with brokers where applicable in the preparation of all related documentation, such as but not limited to, direct shipment clearing documents, import duty, and marine insurance declaration, to ensure all legislative requirements are met and products are received on a timely basis
  • Receives carton labels from supplier and reviews against specifications to ensure all markings are accurate prior to approval; addresses any discrepancies with supplier
  • Completes documentation on landed costs, and records receipt of goods by accurately entering data into the company accounting system
  • Manage and prioritize timelines of operational duties and ensures all deadlines are met
  • Maintain all related files and records in a confidential and organized manner to ensure that current information is readily available for all authorized individuals
  • Participate in Special Projects on an as-needed basis, act as backup for other staff and perform all other related duties as assigned
Position Requirements
  • Post-secondary education with an emphasis on Supply Chain Management preferred
  • Minimum 3 years of related experience required; preference is given to candidates with cosmetics experience
  • Excellent understanding of Supply Chain Management principles and replenishment
  • Fully proficient in Excel, and Word; experience with Supply Chain Management software i.e., Enterprise Resource Planning (ERP) or Distribution Resource Planning (DRP)
  • Excellent customer service satisfaction aptitude with a high degree of diplomacy
  • Excellent relationship-building skills
  • Excellent analytical, organizational, and prioritization skills, with emphasis on time management and multi-tasking
