Job Description

We currently have a Regular Full-time opportunity for a Unit Clerk – Virtual Clinic Coordinator in the Odette Cancer Centre - Clerical at our Bayview campus.Hours of Work:Weekdays; Days; 8hrs; as per scheduleSummary of DutiesThe Unit Clerk – Virtual Clinic Coordinator will be primarily working alongside the Odette Cancer Centre (OCC) Virtual Care Steering committee. Virtual Care is defined as any interaction between patients and/or members of their circle of care, occurring remotely, using any forms of communication or information Technologies, with the aim of facilitating or maximizing the quality and effectiveness of patient care. (WCH 2015 endorsed by the CMA 2019).The Unit Clerk – Virtual Clinic Coordinator will be responsible for supporting patients with clear knowledge around virtual visits (ZOOM) and virtual information as well as supporting virtual connectivity. The role will include developing processes and providing support to patients around navigating the virtual care clinic Experience. This project provides an opportunity to develop guidelines for current operations and standardize procedures, with the least negative impact on stakeholders, especially cancer patients and their families.

  • Obtaining consent from patients verbally and/or electronically prior to virtual visit
  • Confirm appointments to ensure clear appointment schedules for patients and providers
  • Testing internet availability/technological features to determine compatibility
  • Consulting patients and caregivers about additional supports that may be required (i.e. sign language, translation) to have a successful appointment
  • Provide education related to virtual clinic visits and provide technical assistance and troubleshooting to patients during their appointments via Zoom
  • Providing coordination support during a virtual clinic
  • Provide some training and support during the onboarding of new providers to Zoom clinics
  • Manage the entire provider/patient Zoom clinic interaction using break out rooms, chat function for clinic updates and troubleshooting.
  • Facilitate the rescheduling of appointments as needed with the Unit Coordinator Team
  • Participate as a member of the Virtual Care Working Group
  • Collect & manage data to ensure quality and integrity of data
  • Participate in continuous improvement initiatives related to key operational processes
  • Foster and maintain positive relationships
  • Assume other responsibilities and duties as required
Qualifications/Skills
  • Two years relevant experience within an ambulatory setting strongly preferred
  • Previous experience in an oncology setting will be considered an asset
  • Excellent verbal/written communication and comprehension skills
  • Excellent customer service and telephone manner
  • Ability to collaborate successfully with multiple internal and external stakeholders
  • Proficiency with Microsoft Office (Outlook, Word and Excel), Excelicare, Quadramed preferred
  • Proficiency using and hosting with ZOOM platform – using breakout rooms
  • Willingness to explore new hospital information systems as they relate to Virtual Care
  • Well-developed organizational, prioritization and time management skills in order to meet multiple deadlines
  • Ability to work independently and efficiently with minimal supervision
  • Evidence of good attendance, a satisfactory performance history and a discipline-free record required
