Job Description

Our Toronto office is looking for a Vault Clerk to join our Private Client Services (Estates) group!Major Roles and Responsibilities:

  • Initial review and organization of existing original, executed estate planning documents in on-site vault;
  • Reorganizing and updating the existing record-keeping system;
  • Processing of newly executed estate planning documents including:
    • Review documents for proper execution;
    • Scanning of original documents;
    • Preparing affidavits of execution, estate planning reporting letter and records books;
    • Entering information into record-keeping system and arranging for safekeeping of original documents in on-site vault;
  • Responding to requests for records and information and retrieving original documents from on-site vault;
  • Maintaining an up-to-date record-keeping system;
  • Other duties as assigned.
What youll need:
  • Community College Certificate or Diploma or equivalent combination of experience;
  • 1-2 years of working experience in a professional organization;
  • Excellent organizational, time-management and coordination skills;
  • Strong attention to detail and ability to work with and understand confidential information;
  • Excellent verbal and written communication skills;
  • Ability to lift up to 15lbs;
  • Advanced technical skills in MS Office (Word, Excel and PowerPoint); Able to learn new software systems with ease;
  • Forward-thinking and innovative with ability to find ways to deliver customer service excellence;
  • Able to manage multiple files and tasks;
  • Collegial and a team player;
  • Experience in Wills & Estates is an asset but not required.
