Job Description

We are seeking a proactive and detail-oriented Executive Assistant to join our team full-time at our Downtown Vancouver office. This is a fulltime in-office role ideal for someone with a strong sense of ownership, who thrives in a dynamic environment and is eager to contribute across multiple operational areas. The key responsibilities include:

  • Support HR operations, including compliance, onboarding, payroll coordination, benefits administration, and maintaining employee records
  • Perform bookkeeping and support financial operations, including expense tracking and reconciliations
  • Prepare and maintain internal financial reports in coordination with our accounting team
  • Oversee general office operations to ensure a well-functioning and professional work environment
  • Assist in scheduling, meeting preparation, and executive calendar management
  • Help coordinate special projects and administrative tasks as required
  • Occasional offsite pickup/drop off and making purchases
Requirements
  • Proven experience in an administrative, accounting, or HR-related role
  • Intermediate understanding of bookkeeping and HR fundamentals
  • Proficiency in Microsoft Excel (pivot tables, formulas, reporting)
  • Strong organizational and communication skills
  • Ability to handle confidential information with discretion
  • Comfortable working in a fast-paced, startup environment
Nice to Have:
  • Experience with QuickBooks or similar accounting software
  • Familiarity with payroll systems and employment standards in BC
  • Prior experience working at a tech startup
