Job Description

Cornerstone Co-op invites applications for the position of Administrative Assistant to join our Talent and Culture team on a full-time basis at our Administration Office located in Vermilion, AB. Reporting to the Director of Talent and Culture.What you’ll do:This position provides a professional level assistance to the Department Support Centre (DSC) Leaders and Team. The work is varied and requires confidentiality, reliability, and the ability to handle multiple projects.

  • As a first point of contact for our Cornerstone owner-members and customers, Team Leaders, and Team Members this position will demonstrate day-to-day behaviours and actions that align with and strengthen the Co-operatives purpose, vision, mission, values, brand and focus on safety.
  • Greet, answer, and redirect in-person, phone and email inquiries to the appropriate resource as needed.
  • Demonstrate a positive energy, professional demeanor, and outstanding customer service to guests
  • Prepare professionally formatted and carefully proofread documents, forms, etc., using Office 365 products – Word, Excel, PowerPoint, and Outlook as well as Adobe.
  • Ensure overall daily administration tasks are completed accurately and efficiently including mail and email distribution, balancing daily cash for Vermilion Administration office, receipting the received-on accounts by mail, ensuring daily bank deposit and mail runs are completed, etc.
  • Equity support - assist completion of ownership applications; changes; and / or withdrawals
  • Account support – respond to general charge account inquiries
  • Internal Hub (website) – ensure communication, policy and other documents are properly formatted and kept up to date on our internal hub at all times
  • Support the General Manager and the Board of Directors through document preparation, registrations, travel arrangements, filing, Annual General Meeting support, etc.
  • Assist with Safety, Payroll & Asset Protection with document preparation, filing, etc.
  • Assist with event coordination
  • Promptly order supplies for Cornerstone locations as requested
  • Issue mass amounts of gift cards
  • Help the team maintain the professional office appearance and stock supply
  • Perform other duties as assigned

  • You have completed a post secondary Office Education program or administration or an equivalent combination of training and experience which includes accounting-related knowledge
  • You have exceptional computer knowledge and extensive experience with Microsoft Excel, Word, PowerPoint, and Outlook. Adobe would be an asset.
  • You have experience handling sensitive / confidential information.
  • You are detail-oriented; strong organization skills; and you optimize work processes.
  • Excellent written and verbal communication skills with well- developed telephone skills
  • Knowledge about the Co-op Retailing System Equity Process is an asset
  • Accounting experience would be considered an asset
  • You are calm and priorities drive your day; you handle competing demands with composure
  • You are committed to accuracy, and attention to detail is apparent in everything you do
  • Action-oriented; and your experience shows that you know how to get things done
  • Always customer-focused (external & internal) and you work well with Team Leaders and Team Members.

  • You are available to work 40hrs/week (Monday-Friday 8-5); additional hours may be required occasionally
