The Administrative Assistant is accountable to the Principle of Strigidae Strategies for assisting them with a variety of complex and routine tasks and supporting other function specific activities to ensure they are carried out in a timely and consistent manner to achieve business goals and objectives. The company provides direct and subcontracting services to a number of clients, which requires the ability to be able to multi-task and to handle sensitive or private information with tact and discretion and in accordance with the expectations of the Company.The position is well suited for someone with a reputation and demonstrated track record of working independently, showing initiative, and an eagerness to learn. A person who has a commitment to continuous improvement; looking for ways to improve work methods and ensuring positive work relationships. The position requires the ability to maintain complete confidentiality at all times.Duties and Responsibilities:
  • Manage office duties such as organizing filing systems, ordering office equipment and supplies, coordination of services supporting the office
  • Completion of basic bookkeeping records; accounts payable and receivable; expense administration
  • Book conferences, seminars, meetings and make reservations as required
  • Establish and standardize client onboarding process from appraisal inquiry to report completion. Specific tasks will include gathering of property information prior to quotation, providing appraisal proposals/engagement letters, inspection booking and invoice preparation.
  • Assisting with appraisal report set-up to include basic property information such property characteristics such as the size of the site and improvement, listing/sales history and planning designations (Official Plan and Zoning)
  • Maintaining database of conventional report information such as city/neighbourhood descriptions and asset class submarket descriptions
  • Maintaining the appraiser’s comparable database (Datappraise); inputting sale, lease and expense data as directed
  • Maintaining the appraiser’s customer relationship management (CRM) database, ensuring up to date contact information for various clients and industry contacts
  • Assist with marketing efforts as required (potential email marketing/newsletter)
  • Regular proofreading and editing of appraisal reports
  • Other duties as may be required
Core Competencies:
  • Advanced experience in an administrative role
  • Specific real estate or property valuation experience is a significant asset
  • Competency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint, etc) is critical
  • Writing, proofreading and time management skills
  • Able to walk up two flights of stairs
  • Excellent communication skills, both written and verbal
  • Strong organizational and time management skills

Opportunity for the role to expand in terms of time requirement and areas of responsibility as workload permits. Compensation will be Salary based.Job Type: Part-timeSalary: $20.00-$21.00 per hourBenefits:
