Valley Fiber Ltd is a full-service company offering dedicated fiber optic internet, TV, and digital phone for people across the province. We’re growing fast, and we’re looking for talented people to come grow with us!We are seeking out an enthusiastic and self-motivated Administrative Assistant to join our Business Development team at Valley Fiber. This position reports to the Director of Business Development.Who You Are:

  • Previous experience providing administrative support to an entrepreneurial
leadership team
  • Previous experience with organizing, tabulation, and summarization of
project information
  • Proficiency in MS Office suite
  • Ability to maintain discretion with highly confidential and sensitive pieces of
information
  • Knowledge of best business writing practices, with proven professional
communication skills
  • Previous experience taking diction from key parties and writing reports and
correspondence
  • Previous experience liaising with senior management, board members, and
investors
  • Previous experience as an Administrative Assistant for a senior leader is an
asset
  • Ability to multitask efficiently
  • Top notch organizational talents, with the ability to organize multiple work
streams and multiple people
  • Ability to work with constant interruptions and changing priorities in an
extremely fast-paced environment
  • Meticulous attention to detail with the ability to recognize when information
may be incomplete
  • Ability to knit together many pieces of information in a logical format
  • Comfortable with a “quarterback” role when coordinating teams, and
getting the required information on time
  • Confident and assertive communication skills
  • Ability to work well under pressure and meet short deadlines while
maintaining a calm demeanor
  • Can clearly demonstrate knowledge of the areas where this role will
provide support
  • Good sense of humor, team fit
What You’ll Do:
  • Oversee supply orders from other offices & act as a point of contact
  • Coordinate travel arrangements for senior leadership team and owners as
required
  • Company cellphone ordering, tracking, returns, pricing, and liaising with
Rogers
  • Draft letters and emails to internal and external staff on behalf of the
business development team
  • Provide administrative support to the CEO/COO/CFO as required
  • Take Board of Director meeting minutes for both Valley Fiber & Wall Media
  • Book external conferences, meeting spaces, and restaurant reservations as
required for various meetings
  • Coordinate lunch for internal meetings
  • Provide administrative assistance to the Facilities Coordinator and Director
of Business Development
  • Interact with local Chamber of Commerce and ensure that all information
received is distributed to the appropriate teams organizing/disbursing ofinformation for all Chamber memberships
  • Work together with accounting to update Valley Fiber investors and
payments through Valley Fiber’s Paralegal. This includes the following:providing minutes, resolutions, loans, and mortgages for auditor purposes
  • Providing Paralegal administrative support as needed
  • Provide construction updates, tracking, and reporting
  • Interact with office cleaners in consultation with HR
  • Assist in preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Organize and schedule meetings, take minutes and disburse to appropriate
