The Office Administrator owns the receptions desk and is responsible for welcoming visitors in-person, managing telephone inquiries and providing the business office and company executives with administrative support. There will be no shortage of task variety as you will have the opportunity to support all areas of the business. In addition to front desk duties the Office Administrator will report to and support the Human Resources Generalist with recruitment, onboarding and other HR tasks as assigned. The position is full time, with the requirement to be in-office from 8AM to 4PM Monday to Friday. Responsibilitiesamp; DutiesWelcome clients and visitors to the office in a helpful, friendly, and professional manner Answer switchboard calls and either direct callers to the appropriate department or respond to inquiries Sort incoming mail and deliveries upon receipt and ensure outgoing mail and courier packages are sent on time and accurately Assist with keeping a tidy reception area and boardrooms Provide clerical support to the office, including managing and ordering office supplies Process service invoices and related export documents Prepare packing lists for shipping department Prepare and submit onboarding and offboarding documents Prepare and post for job openings internally and externally as needed Conducting candidate screening calls and reference checks Coordinating and scheduling interviews Prepare turnover, retention, and headcount reports on a monthly basis Coordinating office social events and business lunches Coordinate travel for leaders Receiving guests and preparing meeting rooms Maintain a high level of confidentiality at all times Other duties as assignedKey AttributesReliable team player, with demonstrated willingness and ability to learn and collaborate is important Enjoys variety and is able to effectively prioritize tasks Strong written and verbal communication Detail-oriented, well organized and ability to problem solveDesired Education and Experience2+ years in an administrative role Preference will be given to those with a post-secondary education in Business Administration, Human Resources or something of that nature Experience in Microsoft Office (Excel, Word, Outlook) is required.Don’t meet every single requirement We are committed to creating a diverse and inclusive environment, so we strongly encourage you to apply even if you don #39;t believe you meet every single qualification outlined.
