Position SummaryWe’re looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers.Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.We want our next team member to be versatile, collaborative and results-oriented, along with demonstrating the desire to learn and grow. Communication is a big part of the job, so you must feel confident enough to contribute to the entire process. This position will provide opportunities to hone your skills. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.Are you dedicated, enjoy working with a team, and meticulous in detail Then we would love to hear from you!Primary ResponsibilitiesThe specific details of the Executive Assistant’s role will vary slightly but common responsibilities will include:
  • Act as the point of contact among executives, employees, clients and other external partners
  • Manage information flow in a timely and accurate manner
  • Provides administrative support to ensure efficient operation of office
  • Carries out administrative duties such as typing, copying, scanning etc.
  • Manage executives’ calendars and set up meetings
  • Answers phone calls and supports visitors
  • Make travel and accommodation arrangements
  • Rack daily expenses and prepare weekly, monthly or quarterly reports
  • Keep up with office supply inventory
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system
  • Exhibits polite and professional communication via phone, e-mail, and mail
  • Any other project deemed appropriate by the Director
Interpersonal/Leadership Skills
  • Must have a good knowledge of good business practices and principles
  • Completion of post-secondary education
  • PA diploma or certification is a plus
  • Minimum 3 years’ experience as an Executive Assistant, Personal Assistant or similar role
  • Excellent MS Office knowledge
  • Strong analytical, interpretive and problem-solving skills
  • Ability to perform duties accurately with a level of precision while maintaining a steady workflow
  • Outstanding organizational and time management skills
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
