Position Function: This critical role provides detailed coordination throughout the Pre-Construction process. You work closely with Stattonrock Design + Build’s GM and Client Care Coordinator by researching and obtaining all the information necessary to successfully obtain proper permits for residential renovations and custom builds. You will coordinate with engineers, municipal offices, and design staff to ensure permit applications contain any relevant plans or reports to avoid costly delays in the permit review process. This position will also require maintaining the Pre-Construction contracts, tracking milestones for invoicing, and helping to ensure the design is in line with the client’s budget. Additionally, the successful candidate will provide administrative support to the GM during the Pre-Construction process, which includes monitoring costs with the Pre-Construction estimate, ensuring the project is moving through the design and estimating phase effectively and efficiently.What We Offer:

Reports to: General ManagerCompensation Type: SalarySalary Range: $55,000 - $65,000Key Position Objectives:
  • Manage daily schedule, ensuring efficient and effective productivity
  • Ensure project is moving through design, permit, estimating, contract process to ensure timelines are met
  • Maintain project tracker to understand upcoming workflow and spacing of new jobs
  • Enter and maintain accurate and complete job file information and date milestones in our project management software and online fastion platforms
  • Use learned skills to execute projects to Stattonrock standards
  • Some site visits may be required to help obtain scope of work for renovations
  • Research sites prior to client meeting so you can answer any questions that may arise during the initial meeting:
  • Use municipal web maps for information on sites to determine requirements for permit
  • Call Municipality for questions when required
  • Prepare a Pre-Construction Agreement, when possible, to review during meeting
  • Coordinate the Permit Acquisition process from start to finish including:
  • Liaise with various stakeholders (design team, project management team, clients, municipalities, consultants, etc.)
  • Pursue all plans, reports, and information for application
  • Fill in all relevant paperwork for permit application
  • Continually review permit progress for each project and determine next steps to ensure permit is acquired as quickly as possible
  • Communicate with clients on a weekly basis so they are informed
  • Review plans, reports and schedules submitted for permits for completeness and accuracy as per the executed contract
  • Submit permit applications
  • Monitor budgets on CoConstruct and process change orders
  • Assist with regular reporting requirements
  • Maintain a safe and secure working environment by following and enforcing mandated standards and procedures
  • Fill out WCB Notice of Project prior to start of project
  • Call for BC One Call prior to start of project
  • Ensure clients have Course of Construction Insurance
  • Participate in Coach & Connects and Employee Reviews Quarterly
  • Give regular open and honest feedback to your manager
  • Ability to be a team player and protect the mission, goals and values of Stattonrock
  • Ability to serve clients and deliver an elevated experience
  • Ability to communicate with all stakeholders
  • Communicate with appropriate officials and municipalities regarding permit applications and deadlines as needed
  • Coordinate with Client Care Coordinator for preparation of contracts, addendums
  • Coordinating project kick off with Project Manager and Interior Designer, ensuring all relevant information is handed off
  • Maintain communications and liaise with various stakeholders on behalf of the team
  • Have open communication with Interior Designers and Project Managers – answering questions, detailing information to eliminate mistakes and questions further into the project
  • Ability to learn and grow in skills and knowledge

What You Can Do:
  • Preferred 3-5 year’s experience in a similar role
  • Familiarity with Microsoft 365 is an asset
  • Familiarity with CoConstruct an asset
  • Knowledge of Municipal bylaws and zoning required
  • Knowledge of BC Building Code an asset, including Step Code
  • Familiarity working with Energy Modeler is an asset
  • Excellent communication skills, both written and verbal

Working Conditions:
  • Primarily in the office Monday-Friday, 8:00 am - 4:30 pm
  • Will be expected to travel as needed to company subsidiaries and attend further education seminars or school
