The Salvation Army, a Christian charitable organization, in Abbotsford, BC, requires a Receptionist/Administrative Assistant to provide reception/administrative support at The Salvation Army Centre of Hope.Hours:35 hours/weekKEY RESPONSIBILITIES:Performing general office duties such as answering telephone and directing enquires and answering inquires; greeting visitors/clients and directing them to the appropriate person(s); filing documents electronically or manually; photocopying and distributing materials as requested; and sending and receiving fax/email material as requestedDrafting correspondence (e.g. letters dealing with administrative issues, dictation, acknowledgements); checks typing for accuracy, sorts and prioritizes typing assignments within general guidelinesBuilding and maintaining databases (e.g. employee/volunteer information, contact lists, inventory, hours worked); maintains input into Salvation Army Management Information System - S.A.M.I.S.Opening and distributing in-coming mail and processing out-going mail; receiving parcel(s) and distributing to the appropriate person(s)Using word processing for routine documentation such as forms, letters, memo, email and may keep records; checking typing for accuracy, sorts and prioritizes typing assignments within general guidelinesOrdering all stationery supplies and maintaining adequate office supplies and other supplies as needed (e.g. kitchen or lunchroom supplies); maintaining postage meter supply; arranging for maintenance of office equipmentPerforming other duties as assignedThe successful candidate will be working in a busy office, greeting clients/donors/public. They must be able to deal with angry clients in a calm manner, able to multitask and work with frequent interruptions.They must be able to maintain confidentiality and have excellent interpersonal skills and communication skills. They must have good working knowledge of WORD, Excel and Email. Ideal candidate should have exp. working for a non-profit charity organization that serves marginalized population.QUALIFICATIONS AND EDUCATION REQUIREMENTS:The successful job applicant will have completed High School, plus specialized courses of up to six (6) months.Experience:More than three months of prior related experience, including, clerical/reception/secretarial experience in a social services setting.Physical effort/Dexterity required:The performance of the job requires a continuous amount of sitting, occasionally bending, walking, keyboarding, standing and lifting up to 10 pounds.Required Skills/Knowledge:The performance of the job requires attentive listening, continuously directing visitors and telephone calls, and occasional computer/word processing, sorting of mail and filing.The incumbent works in generally agreeable conditions, with the following exceptions:Dealing with angry peopleVerbal AbuseFrequent interruptions and multitaskingTemperature variations (i.e. front door opening and closing)Equipment and general office noise (i.e. people talking, phones ringing)PREFERRED SKILLS/CAPABILITIES:Ability to affirm the theology and Mission Statement of the Salvation Army, and the overall ministry objectivesAbility to work cooperatively in a team settingExcellent interpersonal skills and communication skillsCompassionate attitudeAbility to work in a social services settingAbility to do multi-tasking in a calm mannerExcellent spelling and grammarThe Salvation Army will accommodate candidates as required under applicable human rights legislation.
