Job Description

Job PostingHalifax Regional Municipality is inviting applications for the temporary, full time (up to six months) position of Administrative Assistant II with the Youth Section of Recreation Programming, Parks & Recreation.   • Provides confidential administrative support to the Manager of the Youth Program section, i.e., managing inquiries, appointments, correspondence, and electronic communication and ensuring proper follow up so deadlines on various projects for the Manager are met.
  • Provides assistance to the Manager and the division with the preparation of budgets, reports, special projects and confidential work, and formulating and signing, administrative correspondence when necessary.
  • Coordinates the assignment of projects and work activities as directed by the Manager.
  • Develops presentations for use by the Manager for use at Council meetings, public consultations, and workshops.
  • Develops and manages systems for communication, scheduling, inventory management, invoicing, and management of information for the Youth Program section.
  • Submits payroll and maintains confidential files such as personnel files, grievances, complaints, job classifications, salaries, etc.
  • Assists with the creation of Organization Change Approval forms, Employee Data Change forms and other staffing documents.
  • Establishes, maintains and manages an effective records and financial monitoring system for the Youth Program section, including administrative files and computerized filing system, i.e., confidential youth files.
  • Maintains and updates customer information and schedules.
  • Monitors the budget, tracking expenditures on all accounts using SAP.
  • Prepares progress and financial reports for the Manager.
  • Responds to and directs customer inquiries in a professional, customer focussed manner.
  • Performs general office duties such as photocopying, faxing, filing, telephone, reception, sorting and directing mail, and preparing packages for courier delivery.
  • Maintains inventory control of supplies and office equipment.
  • Coordinates and arranges maintenance of office equipment, i.e., Fax, photocopier, computers, printers, phones, etc.
  • Assists with the administrative responsibilities of the Youth Program section as may be required from time to time.
QUALIFICATIONSEducation & Experience
  • Grade 12 (or equivalent) and related secretarial or administrative training from a recognized educational institution.
  • Three years of related experience working in an administrative setting.
Technical/Job Specific Knowledge and Abilities
  • Proficient with computer applications for correspondence, budgeting, and presentations (MS Office Suite).
  • Experience with SAP financial systems will be considered an asset.
  • Excellent knowledge of municipal government and its services.
  • Experience working with youth at risk and their families as asset.
Security Clearance Requirements: Applicants may be required to complete an employment security screening check.Please note – Testing may be conducted as a component of the selection process to assess technical and job specific knowledge.
