Job Description

Job SummaryResponsible for the complete scheduling process up to and including payroll utilizing the scheduling software. This includes master schedule development and maintenance, preparing rotational schedules, replacing staff, accurate data entry and accurate payroll preparation and entry. All staffing and scheduling processes are completed in accordance with SMH and/or union rules and policies. The Scheduler works as part of a team with on-going communication and collaboration with staff and management.Responsibilities:

  • Receive and document all absences from work calls for the organization.
  • Notify individual departments of the absence from work calls received.
  • Seek replacement staff as required/directed for both long-term and short-call basis.
  • Notify individual departments if staff are replaced or if unable to replace staff.
  • Daily collaboration/communication with the managers/delegates, and staff members in order to fulfil departmental staffing and payroll needs.
  • Process all schedule change requests and notify manager when unable to access replacement staff.
  • Prepare schedules by ensuring the required staff are scheduled and that all their payroll scheduling details are records in a fiscally responsible manner in accordance with collective agreements and hospital policies.
  • Demonstrate thorough knowledge and understanding of applicable collective agreements (specifically language relating to hours of work, scheduling and premium pay), to accurately ensure that the scheduling needs of the department are met, avoiding premium pay situations when possible.
  • Schedule and enter payroll for departments as assigned.
  • Post schedules in accordance with union requirements.
  • Resolve staffing needs (conflicts) related to schedules and payroll in a timely and courteous manner keeping the focus on building trusting relations while adhering to collective agreements and hospital policies.
  • Maintain ongoing communication and collaboration with managers/designates.
  • Preparation of special schedules for Prime Time such as Christmas and Summer Vacation schedules.
  • Work with Human Resources and Payroll to meet bi-weekly payroll deadlines.
  • Create, process and archive all records (sign in records, time off requests, call in records, overtime requests, etc).
  • Responsible for accurate data entry into scheduling software to record all staff information/activities (absence from work, schedule adjustment, availability etc.)
  • Utilize scheduling software to prioritize call out sequences according to the applicable collective agreement.
  • Responsible for accurate entry in scheduling software with attention to pay details (paid hours, overtime, etc).
  • Ensure accurate payroll and processing of payment requests.
  • Responsible for scheduling software maintenance and updating – including building of master rotations, additions, changes and deletions.
Qualifications and Experience
  • College diploma in Office Administration, Human Resources or Business related studies
  • Experience with a computerized scheduling program required and CCIM/Quadrant preferred
  • Minimum 2 years’ recent relevant experience in Staffing/Scheduling in a unionized environment with in a healthcare environment is preferred
Skills and Abilities
  • Computer literacy in a Windows environment utilizing Word, Excel and Outlook
  • Understanding of Collective Agreements and scheduling rules in a hospital environment
  • Excellent computer skills and proven communication and problem-solving skills
  • Good interpersonal and organizational skills, excellent time management skills
  • Strong customer service skills and telephone etiquette
  • Demonstrates understanding and complies with patient and staff safety policies and procedures that foster a safe and inclusive environment for all
