JOB SUMMARY:The Executive Assistant provides administrative support to the President & Chief Executive Officer and serves as liaison to the Board of Directors and senior management team.COMPETENCIES:
  • Proficient in the use of Microsoft Word, Excel, and PowerPoint software programs

  • Strong time-management and organizational skills

RESPONSIBILITIES:Executive Support
  • Manages and maintains President & CEO’s schedule and appointments
  • Arranges corporate travel and associated meetings; develops itineraries and agendas
  • Prepares and edits correspondence, communications, presentations, and other documents
  • Files and retrieves documents and reference materials
  • Arranges and coordinates meetings and events
  • Records, transcribes, and distributes minutes of meetings
  • Monitors, screens, responds to, and distributes incoming communications
  • Answers and manages incoming calls
  • Receives and interacts with incoming visitors
  • Liaises with internal staff at all levels
  • Communicates directly, and on behalf of the President & CEO, with Board members and others
  • Provides a bridge for smooth communication between the President and internal departments
  • Works closely and effectively with the President & CEO to ensure he remains informed of upcoming commitments and responsibilities and follows up appropriately.
  • Maintains a sense of issues taking place in the environment, keeping the President & CEO updated
  • Successfully completes critical aspects of deliverables with a hands-on approach to tasks that facilitate the President & CEO’s ability to effectively lead the company
  • Prioritizes conflicting needs; handles matters expeditiously and proactively
Board Support and Liaison
  • Serves as the President & CEO’s administrative liaison to the Board of Directors
  • Assists Board members with travel arrangements, lodging, and meal planning as needed
  • Maintains discretion and confidentiality in relationships with all Board members
  • Adheres to compliance with applicable rules and regulations regarding Board and Board Committee matters, including advance distribution of materials before meetings in electronic and/or paper format
  • Attends Board and Board Committee meetings to record minutes; transcribes and distributes minutes
Senior Management Liaison
  • Assists in scheduling Senior Management meetings; attends all meetings
  • Coordinates the agenda of senior management team meetings and off-site meetings
REQUIRMENTS:
  • Post-secondary business administration diploma or degree
  • Five (5) years’ experience providing administrative support to executives
