You are essential to helping keep our operations running smoothly. You provide back-up for other clerical team members, handling receptionist duties, and receiving and greeting visitors to the Department.Primary AccountabilitiesA few of your key responsibilities include typing a wide variety of documents including confidential correspondence and reports, typing confidential client notes on the Integrated Case Management System, setting up new cases, as well as filing, faxing, copying, scanning and retrieving archive files when required. You will be required to meet tight operational deadlines in preparing court documents, transcribing confidential information from Dictaphone, as well as maintaining an efficient Bring Forward system. You will also process incoming and outgoing mail, respond to general inquiries and emergencies, refer calls to appropriate contacts, schedule meetings, and manage and maintain records.Qualifications and ExperienceYou will have a one (1) year business course plus a minimum of two (2) years of related experience.You are a collaborative team player and have proficient skills in the use of a variety of Microsoft programs such as Word, PowerPoint, Outlook or equivalent. A working knowledge of the ICM system (or other case management systems) would be considered a definite asset. You will demonstrate the ability to work independently in a busy and challenging environment, along with the ability to exercise sound judgment around issues requiring a high degree of tact and diplomacy. Excellent organizational, communication (written and verbal) and interpersonal skills are essential to your success in this role.We will assess the above qualifications and competencies using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.EquivalencyAn equivalent combination of training, education and experience will be considered.
