This is accomplished across four geographic management zones which are responsible for the operation of acute care health centres and the provision of a variety of inpatient, outpatient services including academic, tertiary, quaternary care and community based programs and services including continuing care, primary health care, public health, and mental health and addictions.ResponsibilitiesReporting to the Health Services Manager, the Staffing Clerk organizes staffing requirements as determined by the Department and ensures the processing of payroll and clerical functions. Other duties may include:Inputs and maintains the time reporting system and its many processes in relation to departmental staffing.Update employee rotations/schedules in a timely fashion to ensure accuracy in relation to smoothingChecks bi-weekly time reports to confirm accuracy and makes required adjustments to reporting time in consultation with Department managerMonitors staffing requirements on a daily basis and provides relief as required in consultation with Unit ManagersCalculates and maintains record of charge nurse pay, stand by, travel miles, and determines the number of hours to be paid for such. (Overtime authorized by the Unit Manager).Initiates change formsApplies collective agreements as they relate to payroll/staffing and pay stubsDemonstrates resourcefulness in the use of hospital equipment and supplies as it relates to cost awareness.Aware of policies and procedures pertinent to his/her responsibilitiesPractices safety awareness in all work habits and reports any possible safety hazardsOther related duties as designated by immediate supervisorQualificationsGraduate of one (1) year secretarial or business program or equivalent combination of education and experienceOne (1) year experience in the clerical fieldDemonstrated proficiency in Microsoft ExcelAbility to work in a self-directed environment and also effectively within an interdisciplinary teamExcellent interpersonal, oral and written communication skillsExcellent organizational and prioritizing skillsSelf-motivated independent thinkerPhysical ability to perform duties of the positionGood work and attendance record; attendance records may be reviewedExperience related to staffing, scheduling and booking an assetCommitment to maintain and protect patient, client, and personal safety on an ongoing basisCommitment to confidentiality and privacy of NSH patients and clientsAnnually access the training and education on patient, client and personal safety made available by NSHThe successful applicant will have a commitment to the mission and values of Nova Scotia HealthThe successful applicant will have a commitment to the mission and values of St. Martha’s Regional HospitalCompetencies in other languages an asset, French preferredHours of WorkCasual Relief; no guaranteed hoursCommencing as soon as possibleSalary Information$21.7303 - $24.3130 hourlyThank you for your interest in this position.
