Business Manager IIIArdrossan Junior SeniorElk Island Public Schools (EIPS) is one of thelargest school divisions in Alberta, serving the education needs ofapproximately 17,150 students in 43 schools. We pride ourselves on providing our staff and students withthe tools to achieve success by offering dynamic programming, up-to-dateresources and practical professional learning opportunities.Ardrossan Junior Senior High is a grades 7-12 school with approximately 875 students, 45 teaching staff, and 10 support staff. The school is located in the town of Ardrossan, Alberta approximately 10 minutes east of Sherwood Park, Alberta.Our school offers students a wide variety of opportunities to make student programs challenging and interesting. As we are a combined junior/senior high school, our staff and administration get to know our students very well during their years at Ardrossan. There is a strong sense of "family" at our school.Elk Island Public Schools is recruiting a permanent Business Manager III at Ardrossan Junior Senior High.Commencing August 26, 202232.5 hours per week (Monday to Friday – 6.5 hours per day)EIPS offers a comprehensive benefit package for permanent employeesOpen to Internal and external applicants.FUNCTION AND PURPOSE OF POSITIONReporting to the Principal/Assistant Principals, this position is responsible for the reporting and monitoring of all financial aspects of the school, operating under the policies and procedures of Elk Island Public School District. Providing expertise in establishing and maintaining business processes that achieve consistencies, efficiencies, and effectiveness in the workflow. Offering advice in the establishment and implementation of strategic business plans relating to budget and administration. A Business Manager will have a high level of responsibility in these areas: School Generated Funds (SGF), monthly budget monitoring and analysis, purchasing, as well as a multitude of other responsibilities, examples of which are listed below.Financial and Accounting Systems

  • Assist Principal in administering and monitoring financial transactions
  • Maintain accurate and up-to-date computerized financial records in Atrieve ERP, Rycor Fee Management, and Spend Dynamics systems
  • Run and review monthly Operating and SGF reports
  • Provide Principal with monthly reports and reconciliations for his/her approval
  • Liaise with Financial Services
  • Assist Principal in preparing financial projections
  • Collect, code and review monthly P-card (Purchase Card) transactions
  • Act as one of the bank signing officers (if applicable)
  • Assist Principal in drafting the budget using MyBudget File
  • Collect and verify funds from various sources – school fees, special events, etc.
  • Post fees to applicable students’ account
  • Per policy, define and calculate fees in consultation with appropriate staff members
  • Review School Generated Funds with appropriate staff throughout the year
  • Verify, code, and enter accounts payable invoices
  • Record monthly journal entries
  • Receive, prepare, and enter bank deposits
  • Take deposits to the bank
  • Reconcile Moneris statement monthly (if applicable)
  • Reconcile SGF Overpayment Account monthly
  • Monitor collection of school fees and send to Collections as per procedure
  • Calculate and compile quarterly GST reports, filing before due
PurchasingInitiate and purchase equipment, furniture and textbooks in accordance with Admin PoliciesPurchase material requested by staff as approved by administrationCreate purchase requisitions in Atrieve ERPReceive and inventory supplies upon arrivalVerify requested expenditures fall within budget allocationOther DutiesAs assigned by Principal as duties may vary with each assignment (ie Payroll duties)EDUCATION AND EXPERIENCEEducation: Completion of a two year post secondary accounting diplomaExperience:Minimum of three to five (3-5) years related experience in a school or office environment.KNOWLEDGE, SKILLS AND ATTITUDESHigh degree of proficiency in office computer applications such as MS office, computerized accountingFamiliarity with Atrieve, Rycor, Spend Dynamics, or MyBudget File is an assetExcellent oral and written communication and interpersonal skillsStrong prioritization, organization, multitasking, problem solving and time management skillsAbility to work independentlyStrong ability to adapt and manage change with frequent interruptionsAbility to deal with sensitive and discretionary matters and maintain strict confidentialityPersonal suitabilityDECISION MAKINGThe types of decisions the Business Manager III is required to make on a regular basis may include:Prioritize workload; balances assignments from several individualsDetermine information to provide in response to inquiriesDetermine which inquiries to referDetermine how to best utilize the available computer technology to achieve effective results in the presentation of tables, reports, etc.ADDITIONAL INFORMATIONBusiness Managers must agree to respect the confidentiality and personal integrity of students, parents, teacher and other staff.For more information, please contact MJ Nam, Principal at 780-922-2228 or by email at MJ.Nam@eips.caWe thank all those who apply.
