Job Description

We are results driven, lead by example, communicate openly and honestly, value diversity and foster long-term relationships.General Responsibilities:Manage front desk and ensure the receiving tasks and phone calls. Enter data into computer systems, classify and share documentation according to established processes. Organize mailings and letters and follow up and communication. Understanding and respecting the Social Responsibility Programme and the McDonalds Code of Conduct; Comply with Company Policies and regulations; Respect the rules of good manufacturing practices for the food industry.Tasks and responsibilities :

  • Answer the phone and redirect calls or take messages;
  • Receive visitors and direct them to their registration with register processes in place. Provide job application forms to applicants;
  • Maintain updated phone system and ensure the proper functioning of the fax, copier and printers;
  • Send, receive and distribute mail, email and fax;
  • Make photocopies and scans and distribute documents according to established processes;
  • Compile administrative data and validate the accuracy of the results;
  • Compose and draft correspondence as indicated, perform all clerical tasks related to the secretariat and, when required;
  • Place orders for office and cafeteria supplies and place other POs as required.
  • Assisting the Directors and Supervisors in their duties;
  • Keep documentation of accounts payable orderly;
  • Compile billing documents, engage with suppliers in case of billing discrepancies, codify invoices for payment and send them to headquarters for payment;
  • Compile project spending in established relationships;
  • Respond to requests relating to accounts payable;
  • Check periodically supplier invoices and solve inherent problems.
  • Perform follow-ups with accounts receivable when required
  • Act as a liaison to coordinate deliveries other than production;
  • Organization of Engagement employee events including communication with suppliers, customers and employees ; in charge of organizing the holiday celebrations with employees
  • Monitor customer requests , arrange transportation and inventory management with warehouses;
  • Place orders and manage the uniforms/ shoes provided to employees ;
  • Manage shipments with courier services , customs , government agencies etc. (samples, mail and other )
  • Support translation of documents as required.
  • Support basic Human Resources admin tasks as needed, including but not limited to, supporting onboarding tasks, survey and overall employee communications.
  • Perform all related tasks.
  • Head coordinator of all agency personnel requests, follow-ups, billing, compliance with standards/audit requirements
  • Participate in audit preparation for compliance related to suppliers and HR requests
Job requirements:
  • English and French Functional bilingualism;
  • Good command of French spelling;
  • High School Diploma;
  • Intermediate knowledge of Excel, Word and Outlook;
  • Organizational skills;
  • Autonomous and accountable;
  • Ability to work in a team;
  • Have a physical form to occasionally handle weight up to 22 kg.
