Job Description

The Finance Department of the Fairmont Banff Springs is looking for a dynamic, organized and collaborative team player. This role requires proficiency in Client Accounts Receivable billing (wedding, group, tour) as a primary role, with Accounts Payable and general ledger exposure, while ensuring adherence to standards required by corporate policies.Hotel Overview: For 130 years, The Fairmont Banff Springs has built a distinct and iconic reputation. Our welcoming community is cultural, and dynamic.Summary of Responsibilities:Reporting to the Credit Manager, responsibilities include but are not limited to:

  • Consistently offers professional, engaging and friendly service
  • Provide timely billing of Wedding/Group/Tour accounts following invoicing protocol
  • Maintain records of advance deposits, apply as specified or refund as required
  • Apply payments to the accounts receivables ledger, and perform daily shift closing/ensure all postings are properly coded for the general ledger
  • Be able to communicate and solve guest inquiries (verbal & written) promptly, and comply with all reasonable requests while adhering to the standards required by the hotel.
  • To ensure the application of payments to the accounts receivables ledger
  • To perform a daily shift closing, or ensure all postings are aptly coded for the general ledger.
  • Print all group turnovers, convention resumes, & billing related emails / correspondence, etc.
  • To administer group deposits and follow up on any missing deposits and credit applications when necessary
  • To work collaboratively with accounting personnel to assist with accounting related activities of the hotel which include accounts payable, food and beverage inventory cost control, banking/cash management and credit / client billing
  • Retrieve invoices payable delivered to Accounting Office
  • Investigate outstanding vendor inquiries regarding payments
  • Scan invoices, bank direct debit and documents to the Centralized Accounting Service Delivery Team
  • Participates in month end physical inventory stock count
  • May be required to work extended hours at month end
  • Assist the finance leadership team with ad hoc projects and requests
  • Other duties as assigned
Qualifications:
  • College degree in Business/Accounting or combination of experience and education
  • Previous Hospitality Operations exposure and Accounts Receivable experience preferred
  • Familiarity with hotel operating systems (Opera PMS, Silverware POS and/or Micros POS) and exposure to accounting systems an asset (i.e. Birchstreet procurement tool, Sun GFS back of house, and Accounts Payable software)
  • Knowledge in Microsoft Office required (Excel in particularly)
  • Excellent administrative/analytical ability; interpersonal/communication skills and self-motivated to work in a safe, prudent and organized manner
  • Willing to work a flexible schedule in order to accomplish all major responsibilities and tasks to meet deadlines with quality results
Physical Aspects of Position (include but are not limited to):
  • Constant standing and walking throughout shift
  • Frequent sitting throughout shift
  • Occasional lifting and carrying up to 20 lbs
  • Occasional kneeling, pushing, pulling, lifting
  • Occasional ascending or descending ladders, stairs and ramps
