Job Description

Baker Tilly Rockies LLPs Banff office services our mountain communitys tax, accounting and business advisory needs. As Administrative Assistant at BTR Banff, your welcoming and competent professional attitude will be the first impression for our valued clients. Utilizing your eye for organization, resourcefulness, troubleshooting, software skills and willingness to support, you will accurately and efficiently provide a range of key administrative tasks. These tasks are primarily performed over a variety of different software, providing you the opportunity to demonstrate your skills in navigation and manipulation of digital documentation. We are currently seeking a candidate who is looking for a part-time schedule, who is interested in working side by side with, and learning from, our more established full-time Administrative Assistant. We are open to negotiating a mutually beneficial schedule for this in-person role.Your primary responsibilities will include:

  • Greeting clients and directing their requests appropriately, whether in-person or digitally;
  • Liaise with clients when they pick-up their tax returns/documentation to ensure they are executed accurately;
  • Managing courier requests;
  • Managing and creating appointments;
  • Perform all aspects of printing, filing, assembling, dissemination and filing of client tax returns and related documentation;
  • Manage postal mail, including sending and tracking time sensitive and date stamped packages;
  • Scanning and distribution of client documentation to appropriate staff and Partners;
  • Down/upload documents to/from our Sharefile portal system, then scan and file same;
  • Track the status of clients income tax files, through our CCH Dashboard system.
A successful candidate will have:
  • Previous Administration experience in a professional environment is preferred;
  • Strong capability to learn to navigate new software, and working knowledge of MS Office365;
  • Capability to keep documentation confidential and strong attention to safeguard our computer systems while using them;
  • Excellent interpersonal and communication skills;
  • Strong professional maturity demonstrating a mastery to manage multiple client requests, and various tasks concurrently within a busy office;
  • Ability to treat all information confidentially both on the job and permanently.
