Job Description

This position also administers the extended health and benefits program.Duties and Responsibilities

  • Review and approve all payroll data submitted by department Leaders on a daily basis, following up with Leaders if information is missing or appears to be incorrect. Payroll data includes: approved hours in employee timesheets; vacation pay; gratuities; commissions; sick pay; time-in-lieu; pay changes; and payroll deductions.
  • Ensure all payroll data is entered accurately into electronic payroll system and transmit data on a semi-monthly pay cycle for up to 400 employees.
  • Review new employee hires in the Payroll module of Dayforce, ensuring required data is complete and entered accurately.
  • Process terminations of departing employees from Payroll module.
  • Liaise with Staff Housing Manager regarding rent and deposit charges.
  • Add new hires to Volante system for meal purchase deductions.
  • Coordinate and execute payroll system updates with Ceridian Dayforce Support as needed and communicate changes to those affected.
  • Ensure compliance with existing and any new federal, provincial, and privacy legislation requirements.
  • Maintain the confidentiality of all payroll and human resources information the role is privy to.
  • Schedule and facilitate new Leader payroll software training and identify and re-train existing Leaders as needed.
  • Respond to all payroll-related enquiries from employees, Revenue Canada, Statistics Canada, Employment Insurance, etc.
  • Provide guidance to employees regarding employment leaves and administer all related documentation.
  • Prepare ROEs, manual payments, year-end statutory deduction reconciliations, T4 submissions, and amendments.
  • Document and update payroll procedure and reporting practice updates in an SOP to ensure future compliance.
  • Administer employee benefits programs including enrollment and claims; monthly premiums; and correspond with the benefit carrier and employees to address and correct issues and concerns.
  • Communicate benefit eligibility and coverage changes to employees.
  • Reconciling and posting entries for all Payroll accounts in Accounting system.
Physical Demands
  • Significant sitting and use of a computer and telephone
  • Frequent standing and walking
  • Occasional bending and reaching above and below shoulder height
  • Occasional lifting and carrying boxes weighing up to 25 pounds / 11.5 kg
Qualifications
  • Completion of Grade 12 or equivalent
  • 2+ years of payroll administration experience
  • Post-secondary education in HR or Accounting is preferred
  • Payroll Compliance education is an asset
  • Experience working in Ceridian Dayforce is an asset
  • Knowledge of federal and provincial employment legislation
  • Competent in Microsoft Office and comfortable learning new software programs
  • Strong ability to prioritize and methodical approach to completing tasks
  • Keen attention to detail
