Job Description

Campus Scheduler(Job Number: 320-22)REPOSTDepartment: Office of the RegistrarCampus: BarrieClassification: Support StaffPosting Date: December 15, 2022Salary Range: $28.56 (start rate) - $33.11 (4-year rate)Hours per week: 40 hours per weekStatus: Contract (Appendix D)Effective Date: ASAP to March 29, 2024Reporting to the Manager, Quality Assurance and Special Projects and working closely with the Scheduling Officers, the incumbent acts as the subject matter expert for ad hoc space scheduling systems and processes. Specific duties include, but are not limited to:

  • College Scheduling Systems and Processes which includes:
    • Acting as a subject matter expert (SME) for college-wide space scheduling modules and scheduling of video conferencing
    • Creating and maintaining user accounts / roles and customization to support various user groups
    • Scheduling space for ad hoc and part time activity in Barrie
    • Coordinating and scheduling academic timetables for Lakehead/Georgian activity at the Barrie campus
    • Coordinating and scheduling space for School College Work Initiative
    • Coordinating rental space agreements, invigilation services, generating contracts and invoices
    • Completing ad hoc reports as required and providing insight into potential process changes and improvements for college scheduling needs
    • Auditing the import of academic timetables into the scheduling system
    • Reassigning rooms for ad hoc requests, exams, during emergency situations or if space has been removed from inventory
    • Providing reports when requested on space usage, responding to inquiries as required, providing training and demonstrating the use of scheduling systems as required
  • External Exam Coordination which includes:
    • Coordinating the scheduling for external exams and proctors including interpreting and resolving issues around requirements and restrictions
    • Scheduling and coordinating all materials required for given exam including scheduling and demonstrating proper process to proctors as required and liaising with external stakeholders when rescheduling of exams is required
  • Projects, Upgrades and Maintenance of Scheduling Software which includes:
    • Maintaining the scheduling software, working with vendors prior to and during system upgrades, creating and documenting testing scenarios and executing testing, gathering requirements for process improvements, system upgrades and implementations, presenting / demonstrating new features and functionality to Barrie users and travels to other campus locations to do the same
    • Creating and maintaining works instructions as well as reports for space analysis
    • Providing scheduling support for full-time academic courses during peak periods or as required
QUALIFICATIONS:
  • Successfully completed a two-year postsecondary diploma / degree in a relevant field of study which includes, but is not limited to computer studies or business
  • Three years’ experience in a similar role within a computerized, scheduling environment
  • Experience maintaining a database, including identifying and resolving database errors
  • Experience with testing, system upgrades
  • Experience presenting to groups, developing / maintaining procedural manuals and updating stakeholders on the scheduling process
  • Experience analyzing data from multiple sources and producing statistical reports to assist in forecasting College space requirements
  • Computer skills and experience with the following: a Student Information System (e.g. Banner), scheduling software (e.g. Suite and Enterprise), and Microsoft Office Suite (i.e. Outlook, Word, Excel, etc.) to create timetables and communicate with stakeholders
  • Communication (oral and written) and problem-solving skills to resolve scheduling conflicts and provide functional guidance to stakeholders
  • Demonstrated organizational and multitasking skills with the ability to prioritize to meet varying critical deadlines
  • Proven mathematical and analytical skills to work with quantitative and numerical data
  • Experience working with college policies / practices / procedures (including the Academic Collective Agreement) is an asset
